About The Position

The Quad Preparatory School is seeking an Associate Director of Admissions and Enrollment to join their team. This role is a key member of the Admissions and Enrollment team and serves as a visible, welcoming representative of the school to prospective and current families. Reporting to and working closely with the Chief Admissions and Enrollment Officer, the Associate Director will collaborate with the Associate Director of Community Affairs to lead and execute the full cycle of admissions, re-enrollment, and exmissions for students across both campuses. This is a heavily parent-facing role where the Associate Director will be the primary point of contact for prospective families, expected to represent the school's mission, culture, and program with warmth, professionalism, and genuine enthusiasm. The ideal candidate will possess outstanding relationship-building and communication skills, rigorous organizational discipline, sound judgment, and a deep understanding of the school's mission and community.

Requirements

  • Bachelor's degree required.
  • Prior experience in admissions, enrollment management, or a related family- or client-facing role, ideally within an independent or nonprofit school setting.
  • Exceptional interpersonal, verbal, and written communication skills, with the ability to build rapport quickly and represent the school with warmth and credibility.
  • Strong organizational skills and meticulous attention to detail, with the ability to manage multiple concurrent processes, deadlines, and confidential records.
  • Demonstrated proficiency with admissions management software and general office technology (e.g., online application platforms, CRM/database systems, Microsoft Office or Google Workspace); ability to learn new systems quickly.
  • Comfort and confidence with public speaking and presenting to groups of varying sizes.
  • Genuine enthusiasm for the school's mission.
  • Ability to travel regularly between the school's two campuses.

Nice To Haves

  • Experience with gifted, twice-exceptional (2e), neurodiverse, or learning differences populations is a plus.
  • Experience working with and knowledge of the NYC independent/Guild school community.

Responsibilities

  • Support the Chief Admissions and Enrollment Officer in leading and executing the school's program of admissions and exmissions of students to and from the school.
  • Participate in weekly admissions committee meetings, reviewing applications and contributing to admissions decisions.
  • Maintain all admissions records and systems with attention to detail and organization, ensuring data integrity and confidentiality.
  • Utilize the school's online admissions platform and related systems to manage workflow and support families.
  • Maintain exmissions records and provide necessary paperwork and documentation.
  • Collaborate with the Associate Director of Community Affairs to ensure smooth admissions and enrollment processes.
  • Organize and lead admissions tours for prospective families, presenting the campus, program, and community.
  • Support the Chief Admissions and Enrollment Officer administratively with re-enrollment meetings for current families.
  • Support applicant visits, coordinating logistics and ensuring a positive experience.
  • Conduct meetings and tours for prospective families and referral sources.
  • Support other admissions and community events throughout the year.
  • Represent the school at networking meetings, community gatherings, school fairs, and conferences.
  • Present the school to prospective students and parents as an ambassador articulating the school's mission and program.
  • Represent the school's mission and culture consistently across all communications.
  • Support the school and its leadership in furthering the goals of the admissions and enrollment program.
  • Maintain a calm, enthusiastic, friendly, and positive attitude in all interactions.
  • Model a rigorous, exemplary, ambitious, flexible, empathetic, collaborative, and responsive work ethic and professional demeanor.
  • Perform other duties as assigned by the Chief Admissions and Enrollment Officer.
