About The Position

The Department of Medicine is the largest department in the University of Florida’s College of Medicine with over 375 faculty, 200 residents & fellows, and a total employee count of over 1000. The annual budget is over $200 million. The department operates through 12 subspecialty divisions, each with its own division chief, faculty and staff. The associate director directly oversees clinical operations, ancillary clinical support functions, faculty affairs, and the Chair’s Office operations. This position works closely with the department’s director of health administration, director of finance (working title), department chair, vice chairs, division chiefs, faculty, and division administrators in identifying and analyzing operational problems, collecting recommendations, implementing solutions, and approving policies and procedures that ensure the department operates at the highest efficiency. This position is responsible for the development of the annual budgets for the clinics and supervision of clinic managers and staff. The Department of Medicine has 12 clinic locations throughout Gainesville and in outlying areas, which will require regular onsite engagement by the associate director. This position also interfaces regularly with UF Health clinical leadership and will be engaged in strategic planning, expansion projects, and implementation of new clinical initiatives. This position is expected to be proficient in data analytics, revenue cycle, EPIC, University of Florida business operations systems, and leading teams. As part of the academic mission, this position will lead the operations of the Chair’s Office and Faculty Affairs, interfacing with College and University offices as needed.

Requirements

• Master's degree in an appropriate area and four years of relevant experience; or a bachelor's degree in an appropriate area and six years of relevant experience.
• Proficient in data analytics, revenue cycle, EPIC, University of Florida business operations systems, and leading teams.
• Ability to collect, evaluates, and analyzes data.
• Ability to communicate effectively both verbally and in writing.
• Ability to work independently.
• Ability to use proper and prudent judgment.
• Ability to manage staff and participate in department decision making.

Nice To Haves

• Bachelor’s degree in Business, Healthcare Administration, or related field required.
• A master’s degree in business administration (MBA), health care administration (MHA) is preferred.
• Six years of progressively responsible business or health care related experience is preferred.
• Supervisory experience.
• Demonstrated ability to coach, motivate, and mentor employees is preferred.
• Demonstrated knowledge of personnel related functions including university recruitment and hiring policies and procedures, labor law, and foreign nationals and visa applications is preferred.
• Demonstrated knowledge of university fiscal policies and procedures.
• General financial accounting knowledge is preferred.
• Should have experience in Microsoft office products and EPIC.

Responsibilities

• Provide strategic and operational leadership for Department of Medicine outpatient clinical operations across assigned ambulatory sites
• Directly supervise and mentor clinic managers, ensuring consistent operational standards, performance accountability, and professional development
• Oversee day to day clinic operations, including staffing models, patient access, scheduling efficiency, space utilization, and workflow optimization
• Ensure adequate clinical support infrastructure, including coordination of facilities, technology, equipment, and administrative resources
• Partner with physicians, nursing leadership, and administrative teams to support high quality, patient centered care delivery
• Lead and support planning, build out, and operational launch of new outpatient clinics, expansions, and service lines
• Drive initiatives to meet or exceed institutional quality metrics, patient experience goals, access targets, and regulatory requirements
• Collaborate with UF Health leadership, College of Medicine administration, and system partners to ensure alignment with enterprise goals
• Serve as a liaison between clinic operations and centralized departments such as IT, HR, finance, facilities, and compliance
• Contribute to strategic planning efforts and provide operational expertise to advance the Department of Medicine’s clinical mission
• Assist with budget planning, expense monitoring, and resource allocation for outpatient operations
• Ensure monthly variance reports are completed, reviewing the variance reports completed by the managers and completing them as needed during vacancies
• Prepare and complete budget documents for other partners (i.e. Halifax) and work collaboratively with Shands on budgeting needs
• Oversee the operations of the Chair’s Office, currently comprised of two TEAMS FTE.
• Oversee the staffing and work assignments, fill vacant positions, assist with performance evaluations, and oversee the staff to ensure that the budget is completed and adhered to.
• The Chair’s office must function at a high level of professionalism and efficiency, with coverage of the office at all times.
• Oversee the operations of the Faculty Affair’s Office, currently comprised of two TEAMS FTE.
• Oversee the staffing and work assignments, fill vacant positions, assist with performance evaluations, and oversee the staff to ensure that the budget is completed and adhered to.
• Oversee teaching hour reporting, faculty evaluations, the FEA system, and promotion and tenure for the Department.
• Recommend policies and procedures to the chair and director related to faculty affairs. Stay up-to-date on University regulations and procedures related to academic faculty.
• Oversee the Department’s new initiatives process including tracking of new initiatives, the financial and operational review of each initiative, monitoring needed approvals, and financial reviews of the initiatives at various intervals after it has started.
• Will be involved in the strategic planning and implementation of the new initiatives, which may be for the clinical, research, or education missions.
• Member of the Department of Medicine’s Advisory Council and Executive Committee which are responsible for the strategic direction and decision making for the Department.
• Advisor to the Chair and Vice Chair for Clinical Affairs related to policy making and operational areas of responsibility
• Assist the Vice Chair for Administration with developing the principles of and implementation of the Department’s faculty compensation plan.
