About The Position

The Associate Assistant to the Archbishop handles a wide range of administrative and executive support related tasks and works independently with limited or no supervision. Taking direction from the Archbishop, Priest-Secretary, Chancellor, and Executive Assistant, this position requires acute attention to detail, the ability to interact with staff (at all levels) in a fast-paced environment, while remaining flexible and efficient, with a high level of professionalism and confidentiality. The core role requires significant data entry, preparation, editing, and proofreading of documents, and communicating and keeping track of various tasks assigned to others. It also requires flexibility as various needs and projects arise. The successful candidate for this position is a practicing Roman Catholic committed to the Mission of the Church through the support of the ministry of the Archbishop of Baltimore. This person must understand the importance of her/his role in working with the faithful of the Church in a variety of ways.

Requirements

  • Bachelor’s degree or equivalent experience.
  • 3-5 years experience directly supporting a C-suite executive
  • Proficiency with various software, including MS Word, Excel, Adobe, Outlook
  • Excellent written and oral communication, along with a meticulous eye for catching errors in grammar, punctuation, syntax, and spelling.
  • Strong attention to detail in all communication, especially regarding consistency of formatting and the proper use of honorifics, titles, and various forms of address.
  • Ability to ensure adherence to deadlines, and to track outstanding action items and follow up with team members proactively.
  • Must be able to maintain a high degree of confidentiality and discretion.
  • Strong computer and data entry skills.
  • Demonstrated ability to work independently and as a team.
  • Roman Catholic, in canonical good standing.
  • Computer skills and ability to work in Word, Excel, Adobe, web-based software.
  • Ability to deal patiently with difficult people.
  • Ability to maintain high level of discretion and confidentiality.
  • Ability to comprehend and follow Tribunal protocol and policy.
  • Ability to learn and apply the processes of Canon law as it applies to marriage in the Catholic Church.

Responsibilities

  • Manage correspondence for the Archbishop, including the preparation, editing, and proofreading of all correspondence, communications, and materials, ensuring consistent style and formatting and correct grammar, punctuation, and clarity, in addition to drafting correspondence as requested.
  • Coordinate and track tasks assigned by the Archbishop to senior leadership, ensuring timely completion, clear communication, and effective follow‑through across departments.
  • Maintain, update, and improve departmental databases, digital records, and filing systems to enhance accuracy, organization, and information retrieval. Audit regularly for accuracy of data and information.
  • Process and prepare check requests for invoices and departmental expenses.
  • Work as a team with the Archbishop’s Executive Assistant, the Archbishop’s Priest Secretary, and others within the Archdiocese of Baltimore.
  • Answer incoming calls in a courteous and professional manner and redirect them to other departments as necessary. May receive calls regarding complaints which are to be handled through first-call resolution or referred for resolution by the appropriate party.
  • Support daily office operations with strong attention to detail, including front‑office coordination, meeting preparation, and other general administrative tasks.
  • Other duties as assigned.
