About The Position

We have an exciting opportunity for an Executive Assistant position, to support the Vice President of Communications, and the broad and very dynamic Communications team at Qualcomm in San Diego, CA. Ideal candidate strives for organization, is detail orientated, proactive, demonstrates problem solving, able to deal with ambiguity and an effective communicator. Has the ability to work in a fast-paced marketing and business environment. Has strong knowledge and experience working Outlook, Teams, Word, Excel & PowerPoint applications are key. Must be able to maintain a high level of confidentiality. Is also interested in being a partner to help manage and lead a large team, playing a central role in crafting and nurturing culture, leading on some key processes that enable the team to execute and supporting key moments in time, namely events. The candidate will also be interfacing with external agencies, vendors, and company visitors, so be willing to represent the team at large. Position requires ability to work flexible work hours as needed. You have the unique opportunity to help set the tone and environment we create as a team. Requirements

  • Bachelor's degree and 2+ years of Administrative Assistant or related work experience.
  • Associate's degree and 4+ years of Administrative Assistant or related work experience.
  • High School Diploma or equivalent and 6+ years of Administrative Assistant or related work experience.
  • Completed advanced degrees in a relevant field may be substituted for up to two years (Master’s = one year, Doctorate = two years) of work experience.

Nice To Haves

  • Minimum 7 years experience in administrative support for an executive leader
  • Minimum 4 years experience in managing calendar, travel, expense reporting, and event logistics for executive/Vice President + level staff.
  • Global travel experience required.
  • Demonstrated expertise in writing and verbal communications suitable for executive-level interactions.
  • Advanced presentation development skills.
  • Expert knowledge of Outlook, Teams, Word, Excel & PowerPoint.
  • Experience providing administrative support for a business unit or corporate functional leader within a large corporate environment.
  • Post-secondary education/coursework in marketing, communications or business.

Responsibilities

  • Manages Vice Presidents calendar and appointments, resolves scheduling conflicts coordinating with attendees and provide reminders as needed
  • Organizes and coordinates internal and external meetings; manages detailed logistics as necessary.
  • Develops agendas and rigor around creation of agendas.
  • Manages and maintains executive level contacts inside and outside of company.
  • Creates travel plans and daily travel itineraries for VP’s + Directors, of meetings, chooses travel accommodations in adherence to company travel policy and in consideration of department budget.
  • Supports sponsored media and analysts travel needs.
  • Manages expense reporting process for VP’s + Directors and helps to obtain foreign visas and other travel document requirements.
  • Reviews Vice President corporate cards regularly and supports closing and gaps or issues discovered.
  • Organizes team events or luncheons for the Vice President and Directors, including budgeting, vendor selection, and vendor management.
  • Attend meetings as needed to participate in topics, capture clear action items and publish notes.
  • Develops processes to prioritize activities, proactively initiate tasks, and oversee items through completion.
  • Prepare communications, presentation facilitation and agendas.
  • Assists team with P-card Marketing purchases and some PO submissions.
  • Assists with internal/external Event support, including shipping and receiving, travel and other admin event support as needed.
  • Coordination of team rewards and recognition and internal communication meetings.
  • Facilitate large group meetings and team events – external, cross functional and within team.
  • Develop and maintain professional, collaborative working relationships amongst, internal teams administrative exec staff members as well as any external customers.
  • Responsive to inquiries from company executives, internal stakeholders, and external contacts in a timely manner.
  • Manages ordering of office supplies and basic office needs for the organization.
  • Is a resource for navigating all Qualcomm systems related to the administrative role and supports the team in solving business-related problems.
  • Manages and supports a variety of operational programs (team training, onboarding, cross-department communication, etc.).
  • Provide back-up admin support on occasion.
  • Maintains discretion of highly confidential information.
