About The Position

To serve the church by providing administrative support to the Member Services and serve as the front desk support for all of Trinity.

Requirements

  • High school diploma required.
  • Minimum 3-4 yrs job related experience preferably non-profit environment.
  • Experience in participating in small groups.
  • Proficiency in Microsoft Office (Word, Outlook and Excel) with the ability to learn new applications.
  • Experience managing database information and software.
  • Requires managerial, organizational, and interpersonal skills.
  • Must have a high level of interpersonal skills and ability to handle sensitive and confidential situations.
  • Position continually requires demonstrated poise, tact, and diplomacy.
  • Some analytical ability is required in order to gather and summarize data for reports, find solutions to various issues, and prioritize work.
  • Work requires continual attention to detail, establishing priorities and meeting deadlines.
  • Excellent written and verbal communication skills, with an emphasis on direct end-user interaction.
  • Must be a team player, with a strong desire to collaborate with others.
  • A motivated self-starter with the ability to work under pressure, meet deadlines, and set priorities without direct supervision.
  • Must be a member of Trinity Church.

Responsibilities

  • Open up Trinity Central, i.e. making sure entrance doors are open, turn on music, set up reception desk.
  • Closing down for the day, i.e., locking doors that the receptionist is responsible for opening, locking up all equipment and supplies, making sure that the reception area is free of clutter, and the phones are on night mode.
  • Receive and screen incoming calls, taking clear messages and accurately communicating information concerning Trinity Church.
  • Prepare for church closings for holidays, staff chapel, and unexpected closings due to weather. Signage must be visible as well as outgoing phone messages need to be updated.
  • Greet and direct Trinity Central/TCS/EEC visitors and guest, providing visitor badges as needed and contacting church staff of any arriving appointments as needed.
  • Maintain up to date contact information for school and church staff regarding church/school business, i.e., phone extensions, on-call pastors contact info., ministry contacts
  • Maintain a general awareness of all activity going on in Trinity Central. Visitors, Check-ins, security issues, etc
  • Access and report needs regarding maintenance, cleanliness, etc., for Trinity Central.
  • Maintain accurate and up to date knowledge of Trinity Church processes as well resources available to our congregation and public.
  • Create processes so that others can easily cover in your absence and keep posted and updated on google drive.
  • Assist various departments with administrative responsibilities and tasks such as data entry, faxing, taking ministry event payments and registrations, etc.
  • Create name badges for church employees, ministry volunteers and visitors.
  • Accept and separate mail daily as well as making sure outgoing mail goes out.
  • Accept deliveries from postal services and vendors, contacting individuals of arriving packages.
  • Keep inventory and track stamp usage
  • Team member for Church Database data
  • Maintain Hospital and Nursing Home list and distribute on a daily basis
  • Track all visitations to Hospitals and Nursing Homes spread sheet and calendar in Drop box
  • Assist with Funerals
  • Verify times and dates available on master calendar.
  • Submit request through E-Space
  • Manage records of all funerals on spread sheet and in church database
  • Submit Gideon Bible requests
  • Monthly notes out to families who lost a loved one a year ago
  • Update information in church database
  • Manage and coordinate details with meal teams, including follow up correspondence/Thank You emails
  • Assist with Weddings
  • Receive calls/emails and forward onto Wedding Coordinator cc: the pastor overseeing
  • Verify on master calendars dates and times available
  • Support other areas as needed with check requests and credit card statements.
