About The Position

This role supports the community manager in the financial operations and daily tasks of the community. It involves collecting payments, managing accounts, processing invoices, and ensuring resident satisfaction. The Assistant Manager also acts as an on-site supervisor in the absence of the community manager and assists with leasing activities.

Responsibilities

  • Completes daily transactions and tasks related to the financial operation of the community by collecting and posting rent, fees, and other payments.
  • Prepares daily bank deposits and monthly close-out reports.
  • Processes invoices and payables.
  • Operates property management software, ensuring correct data entry and performing updates and backups.
  • Reviews resident files and accounting records to identify unpaid or late fees.
  • Communicates with residents regarding outstanding balances and implements procedures for collecting delinquencies.
  • Enforces the lease to maximize revenue.
  • Reviews and submits invoices from vendors, contractors, and service providers for payment.
  • Reconciles work performed or products purchased, obtains community manager approval, and codes charges to appropriate Chart of Account codes.
  • Manages communication between vendors, accounting, and the client/owner.
  • Follows established procedures for evictions, including proper notice requirements and court representation.
  • Processes resident move-outs by reviewing lease terms and notice requirements, applying appropriate fees, and processing dispositions.
  • Promotes resident satisfaction and retention by responding to complaints, questions, and requests promptly.
  • Resolves and addresses service issues.
  • Acts as the on-site supervisor in the absence of the community manager by organizing and delegating daily work.
  • Coordinates maintenance and make-ready tasks with the maintenance supervisor.
  • Manages the operation of the community in compliance with Company policies, procedures, and business practices.
  • Offers support and assists with leasing, showing apartments to prospects.
  • Completes follow-up and processes applications.
  • Prepares lease and move-in documents.
  • Promotes a positive image of the apartment community and management company.
