About The Position

This role is responsible for various administrative and operational tasks within the Catering & Banquet Operations department. Key duties include maintaining order guides, managing new employee onboarding, processing payroll, and coordinating with various departments and vendors. The position requires strong organizational and communication skills to ensure smooth operations in a fast-paced environment.

Requirements

  • Minimum of two (2) years of administrative or operations experience in a large complex organization
  • Clear and concise communication skills in the English language

Responsibilities

  • Excel Order Guide Maintenance (edit items/menu changes, formula maintenance, add new menu items, adjust ratios)
  • Maintain and update BirchStreet specs and part numbers
  • Manage hiring and onboarding of new employees
  • Open and track PRFS
  • Track and manage current compendium
  • Schedule interviews with the employment center and assign chefs for interviews
  • Complete internal new hire paperwork
  • Set up employee files and manage availability of new hires on the schedule
  • Schedule and manage all Stagiers and related paperwork
  • Communicate Overtime to supporting departments
  • Communicate with other members of the catering team (Chefs, Chef de Parties, Coordinators, Catering Managers)
  • Manage Kronos approvals, time sheets, and all payroll approvals
  • Email weekly schedule to staff and post in designated locations
  • Maintain Health Cards for kitchen staff
  • Catering Event Order Data Entry using Excel Master Order guide
  • Weekly review of menus and order guides with Management before inputting Birch Street orders
  • Forecast orders using the Missing CEO Report
  • Input orders for all sub-departments within the CSE Department
  • Purchasing of Boxed Lunches and Kosher/Halal Meals, and Direct Sushi Orders, follow up with Vendors
  • Review any Pop-ups and revisions and communicate with Chefs. Place additional orders if necessary
  • Communicate effectively with the Purchasing Department regarding part numbers, adding items, missing items, and pricing
