About The Position

The Assistant General Manager (AGM) oversees their respective office, teams, and processes that are essential to Schweiger's success. The AGM will help build a team of capable and competent employees that can enhance and optimize the operational performance of their office. This is a full-time position, 30+ hours per week, with availability Monday through Friday, and occasional Saturdays during business hours of 6 am-6 pm. Flexibility to help cover in a team environment is needed.

  • Working knowledge of HIPAA & OSHA compliance

Responsibilities

  • Develop a capable and competent office team while working closely with Operations Departments, HR, Billing, Accounting, IT, Marketing, PSC, respective providers, and fellow offices.
  • Develop the office team in a cost-effective manner and build a knowledge base across all disciplines.
  • Provide a strong culture of continued education and training for all staff members.
  • Assist in managing, developing, and coaching PCs and MAs.
  • Maintain a strong focus on full accountability of office SOP compliance through consistent auditing and follow-through at the office level.
  • Achieve monthly office goals set forth by the GM and KPIs, tracking to financial goals and patient satisfaction goals, including but not exclusively: no show rates, financial balance collection, inventory tracking, auditing check-in and check-out procedures, patient satisfaction, follow-up rates, etc.
  • Ensure Staffing, Medical Supplies, and Office Supplies are meeting or below plan.
  • Promote a culture of positivity and help build a company that has long-term sustainability.
  • Obtain high levels of patient satisfaction, aiming for a net promoter score above 82 or office-specific goal.
  • Ensure all patient messages are resolved within 24 hours and patients are updated daily until resolved.
  • Achieve 15 4/5 Star external reviews (Yelp/Google).
  • Achieve smooth running office-level operations and site-level autonomy, with minimal provider and staff complaints.
  • Ensure the office can run autonomously daily with the majority of problems resolved independently.
  • Create a positive and respectful office environment.
  • Ensure all biopsies or labs from over two weeks ago are closed out and acted upon.
  • Reconcile collections and manage deposits per SOP.
  • Understand MA and PC roles sufficiently to fill in as needed.
  • Regular communication with providers and involvement in office decisions to ensure team alignment.
  • Ensure that all office appointments for two days ahead are checked for accuracy and corrected if inaccurately scheduled.
  • Assist in staff scheduling management and provider scheduling data entry for payroll.
  • Assist in staff recruitment and interviews.
  • If needed, assist as AGM at an office in the geographical region.
  • For offices with MOHs: ensure MOHs cases are done in-house through provider-provider referrals unless the MOHs surgeon or patient have requested otherwise, CLIA certification and lab directorship are up to date and maintained, MOHs staff is properly credentialed and trained, and post-care concerns for MOHs are set up to go directly to the surgeon.
  • Other duties as assigned by supervisor on an as-needed basis.
