About The Position

The Assistant Director, Financial Aid Systems position has evolved to meet the needs of the financial aid office and enrollment management. The expectation of the position includes additional duties that keep within the duties of the position, but are more clearly defined. The expectation is that the position will aid the office become more efficient, aid students and families through efficiency and help other office members.

Requirements

  • Bachelor’s degree in a related field from an accredited educational institution.
  • 3-5 years of relevant work experience.
  • Any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions.
  • Highly developed interpersonal, analytic, problem-solving, organizational and communication skills, including the ability to listen thoughtfully and respectfully to a diverse population of constituents and stakeholders.
  • Strong communication skills, both oral and written providing the ability to effectively communicate with multiple internal and external constituents.
  • Knowledge and understanding of federal, states and agency-accrediting rules and regulations as they pertain to higher education admission.
  • Very strong knowledge of federal and state regulations concerning financial aid, as well as NCAA regulations.
  • Strong functional and technical knowledge of FAMS system (Banner/Ellucian preferred).
  • Ability to run and design Banner automated processes for Pell and Direct Loan; combined with technical knowledge of Federal systems such as CPS and EDconnect.
  • A broad understanding of higher education processes and procedures, including shared governance, strategic planning, resource allocation and budget management.
  • Ensures compliance with Federal and State laws pertaining to financial aid, affirmative action and FERPA.
  • Proficiency with PC, Microsoft Office tools, SQL, Adobe, email and the Internet with the ability to learn a variety of new technology systems.
  • Sensitivity to the need of each individual to be treated with dignity and respect as it relates to diversity in general and the Mission of the University specifically.
  • Proactive, strategic, analytical and deadline-oriented in a complex organization.
  • Ability and willingness to work outside of regular business hours and some weekends and evenings during peak enrollment periods.
  • Ability to prepare and maintain confidential data independently in accordance with established policies and procedures and exercise consistent discretion.
  • Considerable knowledge of the laws, regulations and policies governing the operations of the University.

  • Slate experience helpful for cross functional work related to communication technology.
  • Membership and active engagement in appropriate national student service organizations, such as NASFA; PABug; and PASFA.

Responsibilities

  • Directly monitor and perform daily Financial Aid ISIR dataload import functions for current and upcoming academic year; identify and resolve technical issues; verify the successful completion of critical dataloads.
  • Import and load CSS profiles.
  • Print award letters, save copies of award letters, ensure award letter file is accurate before printing or sending to external printers.
  • Send e-mails to specific student populations, ensuring the Popsel is accurate, as well as, the content before sending.
  • Oversee and manage Banner loan processing functions to ensure accurate and timely loan origination, disbursement, reconciliation, and reporting.
  • Serve as a primary resource for troubleshooting loan processing issues, resolving system and data errors, monitoring reject reports, and ensuring compliance with federal, state, and institutional regulations.
  • Work collaboratively with internal departments, vendors, and servicers to support financial aid system operations, optimize processing workflows, and maintain the integrity of student financial aid data.
  • Monitor daily processing activity, conduct follow-up on outstanding loan issues, test system enhancements, support audits and compliance reviews, and provide guidance and training related to financial aid systems and loan processing procedures.
  • Perform and monitor tracking, packaging, and financial aid notices processes; identify and resolve technical issues; verify the successful completion of the processes; use professional and independent judgment to identify and resolve errors.
  • Interpret all financial aid technical findings within the tracking, imports and processes then makes and implements appropriate resolutions.
  • Perform and monitor successful data extracts and imports of Federal ISIR data (Transfer Monitoring, R2T4 Withdrawals, ISIR corrections); identify and resolve technical issues.
  • Complete on-going review of dataload suspense records/duplicate ID’s; use discretion and professional judgment to match records and request additional documentation from students.
  • Handle exit counseling notifications and state loan reporting, dataload and follow-up.
  • Import and Export Federal Pell and Direct Loan files from the Banner system to EDconnect.
  • Monitor EDconnect for files necessary for compliance and federal aid.
  • Troubleshoot import, export and all other jobs and provide follow-up.
  • Design and run reports for clean-up of federal aid issues.
  • Perform proactive outreach and problem solving on potential issues.
  • Represent financial aid at various open house events for current and incoming students.
  • Perform Banner testing for patches and updates.
  • Provide Banner training for staff.
  • Complete other duties as assigned.
