About The Position

Engages in alumni outreach, marketing, and event planning activities. Executes initiatives to align with the University’s objectives. Works with campus constituents as needed to create and implement activities that showcase alumni success and provide meaningful connections between alumni, prospective and current students, and the University. Ensures the daily function of operations and services related to any assigned program, initiative, or objective. Works under general supervision and may make some work procedural decisions which do not contravene policies; generally, determines work sequences (which task comes first) within any department/divisional guidelines. Exercises professional judgment to prioritize competing demands and allocate resources effectively to meet departmental goals. Serves as a subject matter expert and resource person for the assigned area.

Requirements

  • At least a bachelor’s degree
  • At least three years of experience in marketing, public relations, and/or another equivalent related field.
  • Computer and all other standard office equipment.

Responsibilities

  • Plans events that provide networking opportunities for alumni, showcase their accomplishments, celebrate milestones, advance college/department goals, foster YSU spirit, and/or demonstrate the University’s community impact.
  • Coordinates all event details, logistics, communication, and tracking.
  • Plays a key role in Office of Alumni Engagement and University-wide events.
  • Fosters engagement through targeted, effective communication methods including social media, website, email campaigns, and interpersonal communication.
  • Builds relationships with professionalism and interest in alumni experiences.
  • Communicates regularly with alumni.
  • Facilitates volunteer opportunities that support event logistics, community engagement, alumni leadership and student recruitment.
  • Organizes the Pete’s Pride postcard writing campaign to admitted students.
  • Identifies, recruits, and trains volunteers according to skill sets.
  • Handles all logistics related to communication, training and record keeping.
  • Provides a positive experience for volunteers.
  • Leads alumni chapter activities and coordinates with alumni leaders, with emphasis on high-performing groups that align with University objectives.
  • Showcases wide-ranging alumni success through storytelling.
  • Communicates with featured alumni to obtain content and coordinate the logistics of their involvement.
  • Seeks alumni achievements to celebrate.
  • Identifies and cultivates notable alumni for further engagement with the University.
  • Coordinates with colleges and departments as needed.
  • Utilizes existing and future platforms to enhance the alumni experience, including CRM Advance, alumni website, and applications.
  • Ensures accurate contact and activity information necessary for targeting.
  • Coordinates the Legacy Scholarship award process with committee members and the Office of Financial Aid and Scholarships.
  • Communicates with applicants and recipients.
  • Gathers content for promotion.
  • Serves on campus committees and participates in community activities as assigned.
  • Acts as a lead worker; provides functional guidance to lower-level workers.
  • Designs and delivers training materials and/or other supporting documentation necessary for the operation of the assigned area.
  • Analyzes complex data sets and prepares comprehensive reports with recommendations for leadership.
  • Researches and recommends process improvements for departmental operations on a routine or regular basis.
  • Evaluates effectiveness and recommends enhancements of services.
  • Regularly communicates with supervisor and other staff, including student workers, as required or needed in the completion of daily tasks in support of overall goals and objectives.
  • Prepares and maintains accurate records of daily tasks in accordance with applicable policies and procedures and assures timely communication with supervisor, staff, and students where appropriate.
  • Gathers data and prepares reports and other information/documentation for supervisory review related to programs and/or services, or one or more assigned components.
  • Remains informed of current developments and procedures pertinent to duties; participates in staff development activities; attends meetings, conferences, and other events.
  • Trains new hires.
  • Remains proficient in social media and email marketing.
  • Utilizes electronic communication skills and the ability to work with various computer program systems.
  • Displays a strong affinity for the University and has the ability to champion its mission among various constituents.
  • Employs strong internal motivation, excellent organization skills, and a strong attention to detail.
