About The Position

The Assistant Coordinator: Youth Services will support the planning, coordination, and supervision of youth programs including Before and After School programs, seasonal camps, and special events. Reporting to the Recreation Coordinator and Supervisor, this role includes staff supervision, program development, administrative support, and community engagement. This is a part-time position requiring availability Monday–Friday and occasional weekends to support community events, outreach, and program needs. Under general supervision, assists in organizing and supervising a wide variety of recreation services, including before and after school recreation programs, aquatics program, summer and holiday camps, adult and youth sports, instructional classes, and special events; prepares publicity materials; performs other related activities as assigned.

Requirements

  • Principals and methods of establishing recreation programs in general or in an area of specialization.
  • Computer programs such as Word and Excel.
  • Exercise sound independent judgment within general policy guidelines.
  • Motivate and provide encouragement for participation in recreation programs and team environments.
  • Ability to write reports and keep accurate records.
  • Understand and follow verbal and written directions.
  • Communicate effectively both orally and in writing with a variety of personnel and establish effective working relationships.
  • Effectively manage designated operations and supervise assigned personnel; work safely and enforce safety procedures.
  • Must be at least 21 years of age.
  • Two years of experience in planning, developing, and supervising recreational programs and facilities.
  • Two years of college with studies in the field of recreation or a closely related field,
  • Possession of valid California driver’s license and maintenance of an acceptable driving record while employed.
  • First Aid and CPR Certification, or ability to obtain certification within 6 months of hire.
  • Proof of legal right to work in the U.S.
  • TB Test (upon hire)
  • No Child Left Behind Compliance Certificate (upon hire)
  • Child Abuse Prevention Training and Mandated Reporter Certification (upon hire)

Nice To Haves

  • Knowledge of other computer programs is desirable.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher) and basic graphic design tools.
  • Knowledge of Civic Rec or similar registration software.
  • Strong written and verbal communication skills.
  • Ability to lead groups and work collaboratively with diverse teams.
  • Ability to assess program needs and implement improvements.

Responsibilities

  • Assist in hiring, training, coaching, and supervising part-time youth services staff.
  • Support daily operations of youth programs including camps, school-year programs, and community events.
  • Serve as a substitute at program sites as needed.
  • Develop and lead staff trainings and workshops.
  • Perform administrative duties including billing, invoicing, scheduling, and data entry.
  • Use Civic Rec software to manage participant registrations, track attendance, and process payments.
  • Respond to public inquiries, assist families, and support customer service needs.
  • Assist with creating program curriculum, scheduling activities, and planning events.
  • Monitor and evaluate program effectiveness, ensuring safety and quality standards are met.
  • Order and maintain inventory of program supplies.
  • Collaborate with Vallejo City Unified School District (VCUSD) and community partners.
  • Attend and assist at community events to promote programs and services.
  • Create flyers and promotional materials to increase awareness and participation.
  • May assist in developing staff training materials and conducting staff workshops and education programs.
  • Perform related duties and responsibilities as required.
