About the position
The Assistant Community Manager is responsible for overseeing the everyday operations and financial functions of a housing community under the supervision of the Community Manager. They play a vital role in optimizing the property's cash flow and financial position through delinquency and rent collection. In the absence of the Community Manager, they manage all aspects of the property, including personnel, leasing, maintenance, financial administration, and risk management. The Assistant Community Manager ensures compliance with company policies, safety guidelines, fair housing regulations, and liability concerns.
Responsibilities
- Oversee the everyday operations and financial functions of the housing community
- Play a vital role in the delinquency and collection of rent to optimize the property's cash flow and financial position
- Manage all phases of the operations, including personnel, leasing, maintenance, financial, administration & risk management, in the absence of the Community Manager
- Supervise all aspects of the property and staff to ensure compliance with company policies and procedures, safety and fair housing guidelines, and liability concerns
- Responsible for posting all payments and income received accurately and timely
- Process and reconcile daily account receivables
- Monitor and follow up on bad debt, including preparation of late notices, resident and guarantor contact, and filing evictions
- Help property meet budgeted revenues, expenses, and Net Operating Income
- Post all charges to resident and non-current resident accounts, including bill back of utilities where applicable
- Perform end of the month closing procedures and reporting
- Maintain accurate and organized records, auditing resident files to ensure accuracy
- Walk units and post all move-out charges, statements, and security deposit refunds
- Screen, hire, train, coach, and develop onsite staff using consistent techniques and company directives
- Ensure effectiveness of staff through ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks
Requirements
- Experience in property management or related field
- Knowledge of financial management and budgeting
- Ability to handle delinquency and collection of rent
- Strong organizational and record-keeping skills
- Familiarity with leasing and maintenance operations
- Understanding of risk management and liability concerns
- Proficiency in posting payments and reconciling accounts
- Ability to communicate effectively with residents and guarantors
- Experience in hiring, training, and managing staff
- Familiarity with property closing procedures and reporting
- Attention to detail in auditing resident files
- Knowledge of move-out procedures and security deposit refunds
