Assistant Athletics Director for Operations - MSUAASF Range C

About The Position

This position will provide leadership within the Athletic Department for all levels of operations. They will be the lead employee as it relates to all internal functions including budgeting, resource management, technology management, purchasing, student payroll, office operations, game administration and special events. This position will be responsible for all planning, communication and marketing strategies development, and providing financial management responsibility in reporting and data and budget management and oversight. They will provide advanced level leadership, interpretation, advice, and are responsible for the purchase of goods and services, agreements and fiscal responsibility. Lead the preparation, implementation, monitoring, analysis and overall direction of the operational budget for the Department of Athletics in collaboration with the Office of University Finance and Administration. Monitor all department financial activities to ensure proper university regulations and procedures are being followed. Monitor all ticket and cash handling operations. Ensure proper procedures are followed in terms of department payroll and team travel and spending activities. Ensure submission of proper financial reports/information to appropriate University officials, including budgetary compliance with St. Cloud State University and regulatory compliance with the NCAA, NSIC, GLIAC, NCHC and WCHA. Complete the EADA and NCAA Financial reports annually. Develop best practices for implementing these requirements and assessing the work. Assist with athletics-related RFPs, agreements, and contracts to ensure timely execution and fulfillment of contracts. Manges the relationships between the Athletic Department and Business Office to ensure we are meeting the objectives of both departments and works through any conflict and will identify conflict resolution. 70% Serve as the St. Cloud State University Athletics special event lead. Plan, coordinate, and deliver several mid-size Athletic events with Athletics staff and coaches; lead planning and execution of various special events and initiatives including but not limited to (i.e. Hall of Fame; 4 departmental and sport golf tournaments; alumni outreach and fundraising events; Senior Send-Off which is comprised of 400 student-athletes plus coaches and staff, institution, conference and NCAA regional tournaments). Develop, produce, revise and review strategic documents; promote, negotiate and recommend promotional events to increase revenue and promote a positive image for the department. Schedule and maintain a calendar of community service and coach/administrator speaking engagements and help with all communications. 15% Provide overall office management in support of Athletics administration, coaches and staff. Serve as the St. Cloud State University Athletics Department expert in the areas of resource management, technology management and operations. Assist the Direct of Athletics and other administrators with policy development and communication, including on-line and print policy access. Serve as a department administrator to help support all home athletic competitions during the academic year. 10% Perform other duties as necessary as assigned by the Director of Athletics. 5%

Requirements

  • Master’s degree and a minimum of one year of professional experience in higher education in areas such as coaching, compliance, facilities, budgeting, finance, admissions, advising or related field (two year GA position will meet this requirement); or Bachelor’s degree plus two years of professional experience in higher education in areas such as coaching, compliance, facilities, budgeting, finance, admissions, advising or related field.
  • Strong knowledge & understanding of internal operations in an athletics department at a post-secondary collegiate/university level.
  • Strong knowledge and understanding of athletic department budgets and operation requirements
  • Strong understanding of NCAA, Conference (NSIC, WCHA, NCHC), institutional, federal, and state rules and regulations.
  • Strong organization skills and ability to take initiative, multi-task, and achieve a high level of productivity in a collaborative environment under time sensitive deadlines.
  • Ability to work nights and weekends as needed.
  • Evidence of the ability to work with individuals from culturally diverse backgrounds.
  • Ability to adapt to changing conditions and to manage multiple priorities in a fast-paced environment.
