About The Position

The Asset Management Specialist plays a crucial role in maintaining comprehensive documentation and ensuring the accuracy of the centralized facilities asset database. This position is responsible for tracking asset locations, specifications, and configuration details, as well as managing service history and warranty documentation. The specialist will collect and validate asset data, support the development of performance dashboards, analyze maintenance trends and costs, and assist in reporting and lifecycle modeling. This role requires strong organizational skills, attention to detail, and the ability to collaborate effectively with various internal teams and external providers.

Requirements

  • 2– 4 years of experience in facilities operations, asset management, or data analysis preferred.
  • Bachelor’s degree in business, Facilities Management, Engineering, or related field preferred.
  • Valid driver’s license without restrictions that affects your ability to operate company owned vehicle(s) and ability to maintain a clean driving record.
  • Ability to interpret architectural drawings, contracts, and financial reports.
  • Ability to work and communicate effectively with all levels in the organization, clients, and other external contacts.
  • Demonstrated resourcefulness and ability to take initiative in development and completion of projects.
  • Strong organizational and time management skills.
  • Strong attention to detail by ensuring accuracy, consistency, and completeness across all asset documentation, reporting, and data management processes.
  • Skilled in vendor management, contract negotiations, and SLA compliance.
  • Comfortable collaborating with third-party providers.
  • Proficiency with Microsoft Office and ability to learn work-order system(s).
  • Ability to maintain a good driving record.
  • Ability to set a positive example for others by consistently displaying servant leadership behaviors in daily actions and decisions.

Responsibilities

  • Maintain comprehensive documentation and regularly update the centralized facilities asset database.
  • Ensure all infrastructure assets are properly documented, tagged, and standardized.
  • Track asset locations, specifications, and configuration details across all sites.
  • Maintain accurate service history records for all equipment and infrastructure.
  • Manage warranty documentation and monitor service agreement timelines.
  • Collect asset data from maintenance teams, contractors, and vendors.
  • Validate equipment details including serial numbers, specifications, and installation dates.
  • Ensure asset documentation standards are consistently followed across all locations.
  • Support development and maintenance of asset performance dashboards.
  • Analyze maintenance trends, repair frequency, and asset reliability patterns.
  • Track maintenance costs and analyze expenditure trends by asset class.
  • Assist in preparing quarterly facilities asset and performance reports.
  • Support lifecycle modeling and capital replacement forecasting efforts.
  • Monitor preventative maintenance schedules and identify missed or overdue activities.
