About The Position

The Asset Management Specialist is responsible for planning, implementing, and monitoring the lifecycle of physical assets for the district in a manner consistent with organizational goals and values. This position ensures SMFR assets such as equipment, medical supplies, machinery, personal protective equipment, and tools are properly acquired, maintained, utilized, tracked, and disposed of according to the appropriate protocols and practices. The Asset Management Specialist collaborates with various stakeholders to budget for replacement cycles and coordinates annual audits and services of SMFR assets to ensure operational readiness.

Requirements

  • Associate degree in supply chain management, transportation, logistics, business administration, or a related field, is required.
  • Minimum of two (2) years of experience in logistics operations is required.
  • Possess and maintain a valid Colorado Driver’s license with an acceptable driving record in accordance with the SMFR’s Driving Records Policy.
  • Knowledge of inventory and logistics procedures and practices.
  • Knowledge of modern computer systems and a variety of software and inventory data management systems.
  • Knowledge of Fire, EMS, and support equipment utilized throughout the District.
  • Ability to learn and maintain proficiency in the setup, functionality, and operational requirements of a wide variety of assets to ensure equipment is delivered service-ready to personnel.
  • Ability to collaborate with cross-functional teams including finance, logistics, operations, and other bureaus to achieve asset and service objectives.
  • Ability to provide exceptional customer service to internal and external stakeholders.
  • Ability to communicate clearly and concisely, both verbally and in writing.
  • Ability to gather relevant data, analyze problems, evaluate alternatives, and make sound judgements.
  • Ability to work effectively under pressure and prioritize tasks in a fast-paced environment.

Nice To Haves

  • Emergency services experience preferred.
  • Able to achieve and maintain SMFRA Forklift Certification within six (6) months of hire.
  • Must obtain CPR certification within one (1) year of hire.
  • Ability to learn regulatory requirements of Fire and EMS asset servicing.

Responsibilities

  • Oversees SMFR assets; maintains inventory within the bureau including tagging, tracking, and managing assets; documents asset and service activities; maintains critical supplies with expiration dates and rotates them in the supply system as necessary to ensure maximum usage and minimize waste.
  • Participates in the development of objectives, policies, and processes pertaining to specialized EMS and Fire asset management; identifies SMFR timelines, par levels, asset value, and replacement schedule of inventoried assets; monitors equipment usage, maintenance records and service reports; makes recommendations for equipment replacement, upgrades, or modifications to improve efficiency and effectiveness.
  • Maintains a maintenance schedule for equipment and assets requiring testing, calibration, or inspection, manages scheduling with service providers, vendors, and internal personnel, documents the completion of routine inspections and repairs in adherence with regulatory compliance.
  • Organizes and standardizes warehousing, delivery, and internal order fulfillment of assets; serves as a subject matter expert on computerized inventory management system; liaises with inventory management system vendors; assists in overseeing and delegating warehousing and materials handling responsibilities to Inventory and Service Technicians.
  • Coordinates replacement of lost, damaged or stolen assets.
  • Manages disposal of assets through resale, recycling, or other methods.
  • Assists SMFR with budget forecasting by reporting life cycle replacement schedules annually.
  • Prepares reports as requested for SMFR assets.
  • Performs administrative or customer service responsibilities related to maintaining supply inventory and deliveries; operates a computer with a variety of software programs, corresponds both verbally and in writing with stakeholders about assets, services, and deliveries.
  • Serves as a backup to other logistics personnel and participates in bureau wide initiatives related to inventory, service, procurement, and transportation logistics including annual hose testing, annual audits, receiving, tagging, and storing supplies in the warehouse ensuring PAR levels are met, preparing and submitting orders, maintaining supplies and expiration dates, building supply bins and sealing for delivery to fire stations, utilizing inventory controls, coordinating delivery and retrieval of supplies from various destinations.
  • Conducts annual inventory audits; reconciles discrepancies and ensures data integrity of the inventory data base.
  • Collaborates with Internal and Emergency Services, as well as other department personnel on the state of inventory; assists in forecasting future district needs.
  • Attends bureau, division, and team meetings.
  • Effectively communicates with a variety of stakeholders in written and verbal format concerning asset service and management.
  • Meets with auditors and finance as required.
  • Drives various District vehicles (truck, van, or passenger vehicle) to deliver and pick up merchandise.
  • Participates in rotating on-call shifts; responds to calls in support of mission critical needs when necessary; supports on scene logistical needs when required.
  • Performs other job-related duties as assigned.
