About The Position

The San Francisco Museum of Modern Art (SFMOMA) is seeking an Archives and Records Management Intern for Fall 2026. This unpaid internship, lasting at least 3 hours per week and fully onsite, offers a well-rounded experience in archives and information science professions. The intern will work closely with the Archivist/Records Manager on a pilot project to centralize access and contribution to artwork-related documentation. Responsibilities include surveying and inventorying born-digital documents, uploading and describing them in the museum's digital asset management system, and ensuring information is reflected in the collection management system. The internship aims to provide educational objectives such as gaining experience in digitizing and processing archival materials, developing research and information management skills, and contributing to standards for describing object records.

Requirements

  • Must be a current student in or recent graduate of a Masters-level program in library science, records management/administration, museum studies, or related program.
  • Detail-oriented and extremely organized.
  • Interest in archives and records management, specifically in a museum setting.
  • Proficiency with Microsoft Office Suite, Microsoft 365 (including Teams and SharePoint), and task-management applications such as Asana and Airtable.
  • Experience handling fragile objects, particularly paper and audiovisual materials.
  • Applicant must provide proof for receiving school credit.

Responsibilities

  • Survey and inventory incoming born-digital documents.
  • Upload and describe documents into the museum’s digital asset management system.
  • Ensure incoming information about the object is reflected in the collection management system.
  • Digitize archival materials.
  • Compile digital object files.
  • Produce inventories and file maps for object files.
  • Prepare files for upload into digital asset management system.
  • Upload and describe files in the digital asset management system, and link them to the collections management system.
  • Draft new and/or update standards and procedures for collecting, organizing, uploading, and describing digital object records.
  • Complete a metrics report and a project summary of their work.
  • Create and/updated procedural documentation on archives, collections information, and digital asset management standards and processes.
  • Collaborate with colleagues within the Archives and Art Resources department.
