About The Position

The San Francisco Museum of Modern Art (SFMOMA) is seeking an Archives and Records Management Intern to assist with a pilot project focused on centralizing access and contribution to artwork-related documentation. This internship offers a comprehensive experience in archives and information science professions, working one-on-one with an Archivist/Records Manager. The intern will survey and inventory born-digital documents, upload and describe them into the museum’s digital asset management system, and ensure artwork information is reflected in the collection management system. The role involves learning about museum object files, contributing to object records, and gaining proficiency with various systems like the collections management system, digital asset management system, SharePoint, and Network Drives. The intern will also learn digitization techniques, prepare files for upload, and contribute to drafting new standards and procedures. By the end of the internship, the intern will have completed a metrics report and project summary, created/updated procedural documentation, gained practical experience in records management, collections information management, and digital asset management within a museum context, and explored integrated workflows across departments. The educational objectives include gaining experience at the intersection of archives and records management, digitizing and processing materials, developing research and information management skills, exercising communication skills for cross-divisional projects, contributing to standards, and understanding core competencies of the profession through project work and mentoring.

Requirements

  • Must be a current student in or recent graduate of a Masters-level program in library science, records management/administration, museum studies, or related program.
  • Detail-oriented and extremely organized.
  • Interest in archives and records management, specifically in a museum setting.
  • Proficiency with Microsoft Office Suite, Microsoft 365 (including Teams and SharePoint), and task-management applications such as Asana and Airtable.
  • Experience handling fragile objects, particularly paper and audiovisual materials.

Responsibilities

  • Survey and inventory incoming born-digital documents.
  • Upload and describe documents into the museum’s digital asset management system.
  • Ensure incoming information about the object is reflected in the collection management system.
  • Digitize archival materials.
  • Compile digital object files.
  • Produce inventories and file maps for object files.
  • Prepare files for upload into digital asset management system.
  • Upload and describe files in the digital asset management system, and link them to the collections management system.
  • Draft new and/or update standards and procedures for collecting, organizing, uploading, and describing digital object records.
