About The Position

The Application Support Specialist is a three-part position with a primary role in configuring, maintaining, and supporting the ‘Recovery Information Systems’ and related components using various coding languages and integration. This includes systems like Recovery Management System (RMS), NiCE/LiveVox, vExchange, legacy IBM systems (Green Screen), internal applications, and other information systems and file processing related to recovery functions. The role also provides user and systems support to company employees. As a backup Data Coordinator, this role reviews and ensures the correct and efficient processing of client incoming and outgoing data, verifying the completeness, accuracy, and timeliness of new business placements to meet SLAs. Additionally, as a backup for Mail Processing, the role handles all outgoing mail correctly and efficiently, tracks mailed letters daily, confirms printed letters, creates helpdesk tickets for missing prints, and performs UCFS Outgoing Weekly Maintenance Monitoring. This includes creating labels, compiling envelopes, and mailing documents for Legal, Surrender, and Probate.

Requirements

  • Associates degree (Bachelor’s preferred) in a related field OR certifications
  • 1-2 years of information systems support and administration experience
  • Accomplished in using and/or administering UNIX, Linux, Windows, and AS/400 system environments
  • Understanding of core software development principles, including design
  • Ability to code in at least one programming language (e.g. SQL; Python; PHP)
  • Able to create and modify scripts, programs and documentation to improve efficiency and accuracy of daily tasks
  • Desire and ability to learn GIT (versioning control system)
  • Computer proficiency & ability to learn company computer systems
  • Working knowledge of Excel/Microsoft Office

Responsibilities

  • Collaborate with the Business Application Developer to ensure applications align with organizational goals and customer needs.
  • Support the Business Application Developer in the analysis, design, build, and implementation of software, interfaces, and workflows within the Recovery Management Suite.
  • Develop and maintain ‘Recovery Information Systems’ documentation to enhance supportability and knowledge transfer.
  • Support the business operational team in the use of RMS integrated functions and services.
  • Create ‘Recovery Information Systems’ training materials for end users and conduct training.
  • Maintain the level of service and performance requirements for RMS and its integrated recovery applications and infrastructure according to company and client work standards and SLAs.
  • Remain current on technology trends to keep software and tools innovative and secure, and to improve the application development process.
  • Maintain all current and new software and schedules that support new features and reporting.
  • Develop and maintain controls (quality assurance) to verify the integrity of systems, processes, and data.
  • Develop and maintain a monitoring and reporting program to identify opportunities and threats to the information security of RMS/IBM systems, interfaces, and infrastructure.
  • Maintain a secure IBM server environment, including research and implementation of server security options.
  • Maintain a robust and reliable server environment, including research and implementation of server reliability options.
  • Ensure licensing, certificates, and patch management are up-to-date.
  • Design, maintain, and execute an appropriate RMS/IBM backup program (e.g., Mimix) and validate its readiness periodically.
  • Design, maintain, and execute appropriate RMS/IBM disaster recovery procedures and test their readiness periodically.
  • Assist in the installation, configuration, and maintenance of RMS (i.e., IBM) computer hardware, software, and technology systems.
  • Ensure key deliverables are maintained on the IT Calendar and completed as required.
  • Track and manage IT-related 3rd party licenses, domains, contracts, subscriptions, etc.
  • Manage and maintain an inventory of Bass' equipment (servers, workstations, etc.).
  • Manage meter readings and billing with FTG (Flex Technology Group) or other 3rd party vendors.
  • Be available during non-business hours to respond to company and client reports of system problems.
  • Participate in a wide variety of special projects and generate special reports as assigned.
  • Ensure adherence to legal standards and regulations for placements.
  • Review and process all new business placements and account recalls timely in accordance with client contract or directives.
  • Review all vendor data updates and ensure information is processed efficiently.
  • Provide monthly accounting of new business placements to IT Leadership and President via the placement log.
  • Manage data integrity.
  • Process all outgoing mail by weighing mail and affixing appropriate postage and/or using the Inserter machine.
  • Understand the maintenance and use of the mail/insert machine.
  • Maintain office supplies and add items to the supply list when needed.
  • Perform the Outgoing Weekly UCFS Maintenance monitoring every Friday.
  • Ensure all mail from Legal, Chapter 13, e-File, Surrender, and Probate is picked up and processed by 3:30 pm for timely drop off at the post office.
  • Download and print all Reg-F letters and ensure the legal count and mailroom count tie out.
  • Verify the number of letters on the letter report match the number of letters that printed, then generate and print the letters.
  • Make labels and compile envelopes for Legal/Probate.
  • Mark as Mailed all letters that were mailed out for the day on APU.
  • Assist Facilities with his/her responsibilities and perform duties as requested or delegated.
  • Participate in special projects as assigned by department management.
