About The Position

We are seeking an experienced Air Operations Coordinator to manage the full lifecycle of air import and export shipments within our air cargo division. This is a fast-paced, detail-driven role requiring strong command of documentation, compliance, carrier coordination, and customer communication — from first booking to final delivery. The ideal candidate brings a proactive mindset, deep knowledge of air freight operations and customs procedures, and the ability to manage high shipment volumes with accuracy and composure.

Requirements

  • Minimum 1 year air import and/or export operations, including LTL, FTL, and overweight cargo.
  • Thorough understanding of domestic trucking operations, Incoterms, and customs procedures.
  • Excellent written and verbal communication skills in English.
  • Ability to convey complex logistics information clearly to clients and internal teams.
  • Strong ability to manage multiple shipments and priorities simultaneously in a high-volume, time-sensitive environment.
  • Proficiency in Microsoft Office Suite.

Nice To Haves

  • Prior freight forwarding experience strongly preferred
  • Familiarity with air export and dangerous goods regulations is a strong advantage.
  • Experience with CargoWise or similar freight management software is a plus.
  • Proficiency in Mandarin highly preferred given the nature of our client base and partner network.

Responsibilities

  • Manage air import and export shipments end-to-end: data entry, tracking, pickup and delivery coordination, and billing
  • Open and maintain shipment files in dedicated logistics software, ensuring accuracy and completeness of all records
  • Track cargo arrivals, schedule pickups and deliveries, and ensure all freight moves on time
  • Arrange local deliveries for customers following customs clearance where applicable
  • Plan and direct air traffic flows to overseas destinations
  • Coordinate with airlines, carriers, and trucking companies to ensure seamless handoffs and on-time execution
  • Negotiate rates for air export operations including forwarding, consolidations, and quotations to foreign offices and customers
  • Review invoices, shipping manifests, and supporting documents for conformity with tariff and customs regulations
  • Ensure dangerous goods shipments are handled in full compliance with applicable regulations
  • Calculate, convert, and verify pricing, rates, merchandise weights, and volumes; prepare transaction reports to support billing
  • Assist with compliance issues as they arise and maintain accurate filing standards
  • Serve as the primary point of contact for domestic customers and intermediary for foreign clients
  • Proactively communicate on shipment status, delays, and documentation requirements
  • Resolve issues with urgency and professionalism, providing troubleshooting support across the shipment lifecycle
  • Provide operational support to colleagues, supervisors, and department managers as needed
  • Contribute to a collaborative, high-performance team environment
