About The Position

The Air Export Agent will manage air export shipments from booking through departure, billing, and file closure. This role involves opening and maintaining shipment files accurately, following customer Standard Operating Procedures (SOPs), and booking space with airlines. The agent will coordinate cargo pickup, monitor cargo movement, prepare and verify necessary documentation, and ensure compliance with TSA/IAC and export regulations. Responsibilities also include coordinating with warehouse teams, tracking flight status, updating system milestones, and providing proactive customer updates. The role requires working with various stakeholders to resolve shipment issues, verifying vendor costs, entering revenue and costs accurately, and protecting gross margins. Billing must be completed promptly, and files audited before closure to ensure all operational and financial information is complete. The agent will also maintain KPI performance, escalate compliance or financial concerns, and communicate professionally with all parties. Cross-training and providing backup coverage for other team members are expected, along with supporting workload balancing during peak times or absences. Adherence to company ISO procedures and security requirements is mandatory, with a strong focus on customer service, accuracy, compliance, teamwork, and profitability.

Requirements

  • High school diploma or equivalent required
  • Knowledge of air export operations from booking through billing and file closure.
  • Experience with CargoWise (CW1) preferred.
  • Knowledge of MAWB and HAWB preparation.
  • Knowledge of AES/EEI filing and export documentation.
  • Understanding of TSA/IAC security requirements and procedures.
  • Familiarity with airline booking procedures, schedules, routing, and cutoff requirements.
  • Knowledge of commercial invoices, packing lists, SLI, and other international shipping documents.
  • Basic understanding of dangerous goods procedures and requirements.
  • Strong computer skills, including Microsoft Outlook, Excel, Word, and Teams.
  • Strong written and verbal communication skills.

Responsibilities

  • Manage air export shipments from booking through departure, billing, and file closure.
  • Open and maintain shipment files accurately in CargoWise (CW1).
  • Follow customer SOPs, routing instructions, service requirements, and KPIs.
  • Book space with airlines and confirm routing, schedules, rates, and capacity.
  • Coordinate cargo pickup with approved trucking vendors.
  • Monitor cargo from pickup, warehouse receipt, screening, airline tender, and departure.
  • Prepare and verify HAWB and MAWB documentation.
  • Complete or coordinate AES/EEI filing and verify ITN or exemption information.
  • Review commercial invoices, packing lists, SLI, and other export documents for accuracy.
  • Follow TSA/IAC and export compliance requirements.
  • Identify dangerous goods or special-handling shipments and follow required procedures.
  • Coordinate with the warehouse for receiving, weighing, dimensions, labeling, screening, and transfer.
  • Monitor airline and warehouse cutoff times to prevent missed flights.
  • Track flight status and update all required CW1 milestones promptly.
  • Send accurate and timely pre-alerts to destination offices or agents.
  • Provide proactive shipment status updates to customers.
  • Immediately communicate delays, rollovers, missed pickups, or other service exceptions.
  • Work with airlines, truckers, warehouse teams, customers, and overseas offices to resolve shipment issues.
  • Verify vendor rates and costs before approving charges.
  • Enter and review revenue and costs accurately.
  • Protect expected gross margin (GM) and investigate unexpected cost variances.
  • Complete customer billing promptly after shipment completion.
  • Review open files regularly and prevent unnecessary unbilled shipments.
  • Audit files before closure to ensure documentation, milestones, revenue, costs, and operational information are complete.
  • Maintain customer and branch KPI performance.
  • Escalate compliance concerns, high-value shipment issues, service failures, or significant financial variances to management.
  • Maintain professional and timely communication with customers and internal teams.
  • Cross-train and provide backup coverage for other Air Export team members.
  • Support workload balancing during high-volume periods, vacations, and employee absences.
  • Follow company ISO procedures, security requirements, and document-control standards.
  • Maintain a strong focus on customer service, accuracy, compliance, teamwork, and profitability.
