•$115,000 - $151,000

About The Position

Horizon3 is seeking an AI Administrator to administer and govern AI tools used by employees. The role sits on the Business Applications team, which supports organizational collaboration, system connectivity, and process automation. The team administers Jira, Jira Service Management, Confluence, Rovo, Loom, Glean, and Workato, with an emphasis on least-privilege access, data privacy, and auditable data flows. The AI Administrator will administer Glean and Rovo and support configuration and access for Business Applications-specific resources in Claude, Gemini, and AWS Bedrock. Responsibilities include managing access, connectors, and settings; setting up moderately complex Projects, Skills, Gems, and agents; and ensuring AI tools can access only data that users are entitled to see. The position scopes and completes moderately complex projects with little direction. This is an individual contributor role reporting to the Senior Manager, Business Applications. The administrator will collaborate with the Senior Engineer on complex agent and automation builds and with IT Administrators on shared platforms. A defined growth path from Administrator to Senior Engineer is available on the team.

Requirements

  • Hands-on experience administering at least one enterprise AI, enterprise search, or comparable SaaS platform, including users, roles, permissions, and integrations.
  • Hands-on experience configuring Projects, Skills, Gems, agents, or similar capabilities on at least one of Claude, Gemini, Glean, Rovo, or AWS Bedrock.
  • Understanding of RBAC, least-privilege access, and how source system permissions affect what an AI tool can retrieve or expose.
  • Experience troubleshooting connector, access, and configuration problems and escalating them with clear diagnostic detail.
  • Ability to scope, plan, and complete moderately complex projects with little direction from a manager.
  • Ability to write clear guidance and documentation for technical and non-technical employees.
  • Ability to follow data handling and security requirements when working with AI tools that access company data.
  • Bachelor’s degree in Information Systems, Computer Science, Business, or a related field, or equivalent practical experience.
  • At least 3 years of experience in IT, business systems administration, or SaaS platform administration, including hands-on work with AI or enterprise search platforms.
  • Experience supporting a distributed or remote-first workforce.
  • Experience with at least one of Glean, Rovo, Claude, Gemini, or AWS Bedrock.
  • Working knowledge of Jira and Confluence.
  • Understanding of SSO and identity provider concepts as they relate to application access.
  • Basic familiarity with APIs and connector-based integrations.

Nice To Haves

  • Experience deploying or administering an enterprise AI or search platform across a company and measuring its adoption.
  • Experience building agents, Projects, Skills, or Gems used by teams in daily work.
  • Experience reviewing AI tool access against data classification or compliance requirements such as SOC 2.
  • Scripting skills, such as Python or JavaScript, used to automate administrative work.
  • Interest in growing toward integration and solution engineering.
  • Relevant certifications such as AWS, Atlassian, or similar.
  • Experience in high-growth SaaS or cybersecurity companies.

Responsibilities

  • Administer Glean, including data source connectors, user access, permissions, configuration, and usage monitoring.
  • Administer Rovo, including agent availability, access, and settings within the Atlassian environment.
  • Configure and support Projects, Skills, Gems, and agents in Claude, Gemini, and AWS Bedrock, including access groups and workspace settings for Business Applications assets and resources.
  • Manage provisioning, deprovisioning, and licensing for AI platforms using role-based access control (RBAC).
  • Build and maintain lower-complexity agents, Projects, Skills, and Gems for business teams, escalating complex builds to the Senior Engineer.
  • Gather use case, data source, and access details from AI enablement requests and route them to the appropriate platform and owner.
  • Implement access controls and data handling standards for AI deployments with Security and IT Engineering, applying least-privilege access and checking connector permissions against source system permissions.
  • Monitor AI tool usage for misuse, permission drift, and unexpected data exposure, and escalate concerns to Security and the Senior Manager.
  • Maintain a current record of AI tools, connectors, and deployed agents, including owner, purpose, data access, and review date, to support audits.
  • Track platform releases and changes, assess their impact on access and data handling, and communicate them to the team.
  • Write user guidance and enablement content that helps employees use approved AI tools correctly.
  • Report on adoption, license utilization, and platform health to the Senior Manager.
  • Demonstrate a commitment to integrity, process improvement, and customer satisfaction.
