In this key role within the organization, you will be responsible for a wide range of administrative and coordination tasks. You will provide essential support to the Local Vice President and the Human Resources team, while actively contributing to the smooth operation of the office and the employee experience. Your mission: manage internal communications, organize travel and events, coordinate workspaces, welcome visitors, and ensure that daily operations run smoothly. This position is ideal for an independent, organized, customer-service-oriented individual with excellent judgment. If you enjoy taking initiative, solving problems, and being at the center of the action, you’ll thrive in this versatile role. This is an onsite position in our Drummondville, QC location and requires fluency in both French and English.

Requirements

  • AEC in Human Resources or DEC in Secretarial Studies (or equivalent relevant experience).
  • 3 to 5 years of experience in a similar administrative or coordination role.
  • English/French bilingualism essential.
  • Discretion, professionalism, and a strong sense of confidentiality.
  • Strong proficiency with technology and the ability to learn quickly.
  • Excellent prioritization skills and the ability to juggle multiple tasks.
  • Attention to detail, thoroughness, and the ability to ensure impeccable follow-up.
  • Adaptability in an environment where priorities can change quickly.

Responsibilities

  • Prepare presentations, conduct research, and contribute to various strategic projects.
  • Coordinate executive travel (reservations, itineraries, logistics).
  • Manage, verify, and approve administrative expenses.
  • Actively participate in the onboarding and integration process for new employees.
  • Provide daily administrative support to the HR team.
  • Serve as the key point of contact for internal communications.
  • Draft, translate, and publish content for the company’s digital platform.
  • Organize meetings, all-hands gatherings, recognition events, Christmas parties, and other corporate events.
  • Manage conference rooms, workspaces, and logistical needs.
  • Oversee the CTPAT program.
