About The Position

The Business Operations Advisor role is responsible for supporting customers and colleagues with material/documentation and order status. This role will build strong working relationships across the organization, developing partnerships to help provide answers and direction to our customers. The role will report directly to the Sr. Manager of Business Operations.

Requirements

  • Bachelor’s degree with a minimum of 1 year experience in a customer-facing role, or 3 years of relevant experience
  • Strong communication skills and service-oriented mindset
  • Mature, independent, accountable and possesses a strong sense of ownership
  • Ability to work effectively as part of a team and accept direction and feedback
  • Accuracy, strategic thinking and critical thinking skills

Nice To Haves

  • Familiarity with SAP preferred or previous experience with other ERP systems

Responsibilities

  • Providing feedback to customer inquiries via email and phone interactions related to order status.
  • Provide quotations, review purchase orders, and provide feedback to customers within 24 hours.
  • Understanding date management and coordination with the planning department execution of orders and on-time shipments.
  • Generate accurate and comprehensive documentation such as order confirmation, proforma invoices, proof of delivery, etc.
  • Ensure KPIs are being tracked and actioned, and provide feedback if objectives are at risk.
  • Provide customers with necessary documentation which is created by the Engineering and Quality Departments (Installation, Schematic and Piping and Diagram Drawings along with Product Manuals, Specification, Quality Documentation Packages).
  • Updating and uploading information into customer databases.
  • Investigate and respond to requests for expediting shipments from Customers, Sales and Product Management.
  • Foster and maintain relationships with internal and external customers.
  • Effectively collaborate with Sales, Planning, Production, Logistics and other cross-functional areas to ensure critical customer needs are met.
  • Actively engage in proactive communications with Product Management, Account Managers, and Customer Enablement teams.
  • Understand and adhere to company policies and procedures to ensure informed decisions are made accordingly.
  • Help enhance business processes aimed to improve efficiency and reduce transaction times.
  • Any other duties as assigned.
