About The Position

The Advancement Events & Communications Coordinator will oversee event planning and print and electronic content management for the Office for Institutional Advancement. Working closely with the Office of Marketing and Communications, this role will manage logistics for Advancement and Alumni events and take a lead on office communication needs, including solicitations, invitations, email campaigns, and social media content. This position reports directly to the Managing Director of Annual Giving. An ideal candidate will have experience planning, organizing, and executing events, experience working on large-scale mailings, and an interest in philanthropy. Occasional weekend/evening hours may be required.

Requirements

  • Bachelor’s degree required.
  • Minimum 3-5 years experience in event planning and/or communications.
  • Excellent planning, organization, and communication skills
  • Detail oriented
  • Experience building, planning, and executing large-scale events
  • Experience with communication strategy and implementation, preferably at a school or nonprofit institution
  • Strong writing, editing, and proofreading skills
  • Initiative to work independently while maintaining consistent communication with office staff
  • Familiarity with social media platforms, including Facebook, LinkedIn and Instagram
  • Desire to create and distribute content intended to build relationships and raise funds for St. John’s Prep
  • Ability to take initiative and anticipate office needs
  • Team player with a good sense of humor
  • Standing/sitting for long periods of time.
  • Bending, lifting, pushing, kneeling, crouching, crawling, stooping.
  • Must be able to lift up to 25 pounds.
  • Must be able to reach at and above shoulder height to access higher areas of equipment, etc.
  • Must be capable of adapting to frequent changes in position throughout the workday.
  • Hearing and speaking to exchange information in person or on the telephone.
  • Use of hands and fingers for manipulation, and using computer keyboard, educational tools, play equipment, and perform first aid and CPR.
  • Specific vision abilities required include close vision, distance vision, color vision, and depth perception.

Responsibilities

  • Serve as primary lead for all events for the Office for Institutional Advancement, including Annual Giving events, Alumni events, and Capital Campaign events
  • Direct all aspects of event planning, including space reservation, Raiser’s Edge event setup, website registration, and calendaring
  • Connect with and assist outside vendors, including catering menu selection, decor arrangement, and event layout design; address any photography, sound, and lighting needs
  • Manage the setup, run of show, and event breakdown in collaboration with vendors and internal facilities staff
  • Liaise between OIA and Prep Facilities and Dining Services (Sage) teams
  • Manage RSVP procedures and headcounts for events
  • Serve as a liaison between the Office for Institutional Advancement and the Office of Marketing and Communications on all electronic and print materials
  • Identify printer/mailhouse, co-design print and email content, cultivate mailing lists, and proof and schedule all email and print communications
  • Serve as main contact between all Managing Directors on email and print scheduling and ensure timely, accurate delivery
  • Oversee and manage communication calendars for all OIA communications, including social media, emails, and mailings for invitations, reminders, and follow up/stewardship messaging
  • Other duties as assigned by Managing Directors and/or Chief Advancement Officer
