About The Position

Creative Artists Agency (CAA) is the world’s leading entertainment and sports agency, with offices in Los Angeles, New York, Nashville, London and Beijing. Founded in 1975, CAA represents many of the most successful professionals working in film, television, music, theatre, video games, sport, and digital content, and provides a range of strategic marketing and consulting services to corporate clients. The Corporate Communications group manages all media relations, internal communications, advertising, digital marketing, speaking engagements, events, and creative services for the company. This position will report to the Head of Events and will support all CAA-hosted events. The Events department scope of events includes: CAA parties across regions and business areas, Events hosted in the LA office, including screenings, summits and client receptions, and Company social/culture events (mixers, celebrations, etc.).

Requirements

  • Bachelor’s degree in related field required or equivalent experience
  • 2+ years of administrative/event coordination or venue management experience
  • Stellar organizational skills and ability to handle multiple projects at once
  • High level of attention to detail
  • High degree of resourcefulness and ability to follow through on tasks with minimal supervision
  • Strong writing and proofreading skills
  • Budget administration skills (management, tracking and forecasting)
  • Technology skills (e.g., ZKipster, CVent or similar)
  • Professional and mature demeanor
  • Able to lift up to 50 pounds, as needed

Responsibilities

  • Overseeing companywide calendar bookings for CAA’s in-house event spaces for events, including client screenings
  • Collecting details for in-house events, from ROS, catering requests, and security, to parking, facilities, tech needs and more
  • Working closely with CAA in-house tech, projection, catering, security, facilities and parking teams
  • Identifying, evaluating and building relationships with established and non-traditional venues in relevant cities upon request from the Head of Events and Team Managers
  • Identifying, evaluating and overseeing vendors (e.g., catering, production design, hotels, transportation), as needed
  • Offering creative ideas around existing events, while being highly attuned to CAA’s overall brand and the specific audiences of each event
  • Providing onsite event support for daytime, nighttime and weekend events, as assigned
