About The Position

The Admissions Operations Mail Specialist supports the flow of high-volume documents, collaborates with student staff, and helps maintain accurate data within the university CRM. This role assists with mail operations, inventory coordination, and digital record systems, while providing day-to-day support to the imaging and application processing teams. The role involves assisting with recruiting, training, scheduling, and guiding student workers who help with mail sorting, scanning, and data entry. It also supports data updates and quality assurance efforts within the Salesforce environment, helps prepare and execute mail merges using Microsoft Excel and Salesforce, and offers troubleshooting assistance and operational support to document imaging and application teams. The specialist will monitor and help maintain appropriate stock levels of mailing supplies, brochures, and envelopes, and assist with transporting, receiving, sorting, logging, and distributing incoming and outgoing mail and packages. Additionally, the role assists Admissions Specialists with application review preparation, data entry, document processing, and other operational tasks during peak admission cycles and high-volume processing periods.

Requirements

  • High school diploma or equivalent required.
  • Strong working knowledge of Microsoft Excel (including functions such as VLOOKUPs, pivot tables, and mail merges).
  • Valid driver’s license with a good driving record for operating university vehicles.
  • Ability to lift, move, and carry mail bins and supply boxes (approximately 50 lbs).
  • Comfort with extended periods of standing, walking, bending, driving, and reaching.
  • Clear Communication: Ability to communicate clearly and helpfully with student workers and collaborate across admissions teams.
  • Attention to Detail: Careful and consistent approach to data management, inventory tracking, and document handling.
  • Organizational Skills: Ability to manage multiple tasks and maintain an organized, well-functioning workspace.

Nice To Haves

  • Associate’s degree preferred.
  • Salesforce experience is preferred.
  • Experience supporting or coordinating the work of student employees or temporary staff is helpful.

Responsibilities

  • Assist with recruiting, training, scheduling, and guiding student workers who help with mail sorting, scanning, and data entry.
  • Support data updates and quality assurance efforts within the Salesforce environment.
  • Help prepare and execute mail merges using Microsoft Excel and Salesforce to produce admission letters and recruitment materials.
  • Offer troubleshooting assistance and operational support to document imaging and application teams, particularly during busy processing periods.
  • Monitor and help maintain appropriate stock levels of mailing supplies, brochures, and envelopes.
  • Assist with transporting, receiving, sorting, logging, and distributing incoming and outgoing mail and packages, including occasional use of university vehicles.
  • Assist Admissions Specialists with application review preparation, data entry, document processing, and other operational tasks during peak admission cycles and high-volume processing periods to help maintain service levels and application turnaround times.
