About The Position

The Office of Admissions and Recruitment (OAR) at UW-Madison is seeking dedicated admissions professionals to join their team. This high-volume, mission-driven office is responsible for recruiting, admitting, and enrolling undergraduate students to meet university enrollment objectives. Two distinct roles are available: Admissions Counselor for Transfer Case Management and Admissions Counselor for First-Year Domestic students. Both roles involve supporting prospective students through the admissions process to enrollment, with a focus on providing quality customer service and managing application review. The Transfer Case Management role specifically supports domestic and international transfer applications, requiring attention to detail, clear communication, and collaboration. This role includes holistic application review for transfer and potentially international applicants, managing email cases in Salesforce, and training support teams. The First-Year Domestic role focuses on holistic application review for first-year domestic applicants and presenting information about the university and application process. Both positions are 100% ongoing/renewable and offer opportunities for professional growth within the Division of Enrollment Management.

Requirements

  • Proven experience working with individuals of various identities and backgrounds
  • Strong administrative skills that are transferable to application review and project management
  • Demonstrated attention to detail, time management, and organizational skills
  • Capability to utilize technology including office software applications, database systems, CRM systems, etc.
  • Ability to work independently in a high-volume office
  • Strong oral and written communication skills including significant public speaking experience and excellent customer service skills
  • Evening and weekend in-person and virtual work during peak times
  • Must be able to meet the required criteria to become a UW Authorized Driver

Nice To Haves

  • Familiarity with the college admissions cycle
  • Knowledge of international educational systems (for Transfer Case Management)
  • Knowledge of the college admission recruitment cycle and best practices in recruiting, admitting, and enrolling students
  • Experience evaluating applications through a selective admission process at a four-year institution
  • Oral and/or written fluency in a second language
  • At least two years’ experience in the field of higher education, with experience in transfer admissions and/or international education
  • An understanding of both US and international secondary and post-secondary curricula
  • Detailed knowledge of the transfer application cycle, and differences in recruitment for this population from first-year students
  • Two or more years’ administrative work experience (strongly preferred for First-Year Domestic)
  • Bachelor's Degree

Responsibilities

  • Conducts holistic application review for transfer applicants; may include review of international applicants
  • Learns and communicates undergraduate admissions policies; responds to questions via email, phone, in-person, or during virtual interactions with students, counselors, and guests
  • Participates in admissions processes and committees, as assigned
  • Participates in on- and off-campus recruitment travel and events, as needed
  • Manages e-mail cases in Salesforce from students, both prospective and applicants, in the Transfer queue. Escalates cases as needed
  • Understands office document workflow to facilitate appropriate routing of application materials, grade reports and transcripts, test scores, messages, and other application supporting materials
  • Trains and serves as a resource for Operations and Transfer teams as needed
  • Conducts holistic application review for first-year domestic applicants
  • Presents information about the University and UW-Madison application process to prospective students, families, and other stakeholders
  • Reviews applicants from your assigned territory as well as other regions as assigned
  • Schedules logistics and secures resources for events to promote the Institution
  • Evaluates program effectiveness and provides recommendations for improvement
  • Creates targeted communication plans and materials based on established goals
  • Delivers directed admissions program messaging to internal and external audiences
  • Identifies, promotes, and maintains internal and external partnerships focusing on outreach, recruitment, and admission
  • Demonstrates commitment to the University’s mission statement, particularly to be sensitive and responsive to those groups which have been underserved by higher education. Participation in related learning activities is expected
  • Engages in extensive outreach and recruitment events, representing the university to prospective students
  • Counsels prospective and admitted students on educational planning and career opportunities
  • Reviews, evaluates, and responds to student applications according to established policies and procedures
