About The Position

The Administrator in Training (AIT) program is designed to provide comprehensive training for individuals aspiring to lead and manage healthcare facilities. The AIT will gain an in-depth understanding of how to lead, guide, and direct the operations of a skilled nursing facility in compliance with all applicable regulations and policies. This role involves assisting the Administrator in various aspects of facility management, including operational oversight, fiscal health, census management, and regulatory compliance. The AIT will also develop strong relationships with residents, employees, and families, and gain exposure to diverse departments and management functions within the facility.

Requirements

  • Must be working toward or possess a bachelor’s degree from an accredited university.
  • Should have some leadership or managerial experience.
  • Should have a licensed preceptor identified.

Responsibilities

  • Complete one thousand (1000) hours during the training period (typically 9-12 months), spending time in various departments of a skilled nursing facility.
  • Assist the Administrator in planning, developing, organizing, implementing, evaluating, and directing the overall operation of the facility, its programs, and activities in accordance with state and federal laws and regulations.
  • Support the Administrator in evaluating key performance indicator outcomes with department heads to identify needs for action, such as re-education or revisions related to facility outcomes, regulatory compliance, and customer satisfaction.
  • Assist with the development and implementation of processes and systems to maintain the fiscal health of the facility.
  • Assist the Administrator in developing and executing a census and occupancy management strategy to improve census and fiscal health.
  • Serve as a facility representative to the public, delivering confident and concise messages on various topics.
  • Assist the Administrator in leading and coordinating management team meetings to discuss priorities and develop solutions for census, collections, clinical health, survey readiness, customer service, and activity participation.
  • Develop and maintain positive relationships with residents, employees, and family members through regular positive interactions.
  • Assist the Administrator with evaluating the work performance of department heads and maintaining accountability across all departments in conjunction with Human Resources.
  • Facilitate, serve, attend, or participate in various facility committees as necessary.
  • Become familiar with general nursing practices, OBRA regulations, Code of Federal Regulations, Appendix PP State Operations Manual, reimbursement processes, Life Safety Code regulations, applicable labor relations laws, and other applicable regulatory entities.
  • Become familiar with new CMS program initiatives such as value-based purchasing programs (SNF-VBP, SNF-QRP), Quality Measures, Nursing Home Compare, and Payroll Based Journal reporting.
  • Assist the Administrator in delivering compassionate quality care and services through an interdisciplinary team approach, ensuring adequate and competent staff, low employee turnover, general cleanliness, good physical plant condition, and optimal resident functioning.
  • Assist the Administrator in identifying and collaborating with the interdisciplinary team, physicians, consultants, and community agencies to enhance services and resolve issues.
  • Assist the Administrator in recruiting talented, qualified individuals for department head positions.
  • Perform rounds to observe residents and ensure their needs are met, practicing management by walking around.
  • Make oneself available to employees at all levels through an open-door policy and periodic routine availability across all three shifts.
  • Conduct periodic observations of in-service education to ensure staff delivering education are competent.
  • Promote teamwork, mutual respect, and effective communication, as well as positivity and active daily problem-solving.
  • Assist the Administrator with budget development with department heads bi-annually.
  • Assist the Administrator, in conjunction with the Business Office Manager, in weekly or bi-monthly budget compliance meetings.
  • Learn to review and interpret monthly financial statements and provide relevant information.
  • Make written and oral reports and recommendations to the Administrator concerning facility operations.
  • Assist the Administrator in leading and directing facility readiness for health inspection surveys, OSHA surveys, and other regulatory entity requirements.
  • Ensure follow-up is completed on any 'mock' survey issues identified in preparation for health surveys and OSHA surveys.
  • Assist the Administrator to ensure the facility’s plan of correction response to any regulatory or inspection survey is completed, adequate, implemented, and timely.
  • Communicate directly with residents, medical and nursing staff, family members, department heads, and the interdisciplinary team to coordinate care and services.
  • Respond to and resolve complaints and concerns when necessary.
  • Manage and minimize facility risk through a team approach to achieve desired outcomes in customer service, key performance indicators, and employee retention.
  • Read and stay informed regarding regulatory, business practices, and other changes influencing facility outcomes.
  • Engage as a change agent for the facility when necessary.
  • Assist the Administrator to ensure resident incidents and concerns that rise to a reportable event are reported to the correct entity within the stated regulatory requirement.
  • Promote and encourage an environment of trust among employees related to resident safety and abuse prevention.
  • Promote safe work practices, safety rules, and accident prevention procedures to prevent employee injury and illness.
  • May be asked to rotate to different facilities to learn from other administrators, managers, and support staff.
  • Treat all residents with dignity and respect.
  • Promote and protect all residents’ rights.
  • Establish a culture of compliance by adhering to all facility policies and procedures.
  • Comply with standards of business conduct, and state/federal regulations and guidelines.
  • Follow appropriate safety and hygiene measures at all times.
  • Maintain confidentiality of protected health information.
  • Report noncompliance with policies, procedures, regulations, or breaches in confidentiality.
  • Report any retaliation or discrimination.
  • Report any allegations of abuse, neglect, misappropriation of property, exploitation, or mistreatment of residents.
  • Protect residents from abuse and cooperate with all investigations.
  • Report any occupational exposures to blood, body fluids, infectious materials, and/or hazardous chemicals.
  • Participate in all life safety and emergency drills and trainings.
  • Fulfill responsibilities as assigned during implementation or activation of the facility’s emergency plan.
  • Report work-related injuries and illnesses immediately.
  • Follow established infection control policies and procedures.
  • Complete all assigned training and skills competency as a condition of employment.
