About The Position

We are seeking a highly organized and proactive Administrative Technician to support senior leadership within two teams- Large Load & Rate Strategy and Transformation organizations. This role is critical to ensuring efficient day-to-day operations, enabling leaders to focus on strategic priorities while maintaining strong coordination across a dynamic and fast-paced environment. Employees in this job perform diversified and confidential administrative duties by applying broad and comprehensive experience, skills, and knowledge of organizational policies and practices. This position requires some independent judgment of org standards.

Requirements

  • Strong organizational skills with the ability to manage multiple priorities and shifting demands
  • Excellent communication skills and a high level of professionalism
  • Proven ability to work independently and exercise sound judgment
  • High attention to detail and follow-through
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
  • High School Grad / GED
  • 5+ years of experience

Nice To Haves

  • Experience supporting senior leaders preferred
  • Interest and aptitude in learning and adopting new tools and technologies, including emerging digital and AI-enabled capabilities

Responsibilities

  • Manage complex calendars for multiple senior leaders, including scheduling, prioritization, and coordination of internal and external meetings
  • Coordinate logistics for meetings, including agendas, materials, and follow-up actions
  • Arrange and manage travel, including detailed itineraries and expense reporting
  • Support preparation of presentations, reports, and other materials using Microsoft Office tools and other AI platforms
  • Anticipate needs and proactively resolve scheduling or logistical conflicts
  • Handle confidential and sensitive information with professionalism and discretion
  • Assist with team coordination activities, including events, offsites, and leadership meetings
  • Contacts other departments and/or outside agencies to resolve problems
  • Audits and processes invoices in accordance with accounts payable procedures
  • Interacts with all levels of employees as needed to perform responsibilities
  • Works on special projects as requested
  • Performs other job-related duties as assigned
