About The Position

The Administrative Technician/Proctor works in support of the business or College operations, primarily in academic or student services functions. Duties are performed using established standard guidelines and/or procedural methods, or by improvising solutions and alternatives. This role is also responsible for administering Pearson Vue, CLEP, and other online tests for registered students in accordance with specified testing rules and security procedures.

Requirements

  • Education and experience sufficient for the rigors of the position (e.g., Bachelor’s Degree and one year related work experience, Associate’s Degree and two years related work experience, or High School /GED and three years related work experience, or equivalent education and experience).
  • Knowledge of a variety of standard administrative and business methods and procedures.
  • Proficiency in standard Microsoft Office software.
  • Familiarity with other automated systems software such as Access, Publisher, Photoshop, and InDesign.
  • Ability to read, write, speak, and understand English well.
  • Ability to operate a variety of office equipment.
  • Proficient in computer applications, including word processing, spreadsheets, and electronic mail.
  • Ability to multi-task.
  • Ability to meet deadlines.
  • Strong verbal, organizational, and interpersonal skills.
  • Ability to maintain confidentiality at all times.
  • Demonstrated commitment to working effectively with students, employees, and community members of all backgrounds.
  • Must be authorized to work in the United States without the need for current or future sponsorship.
  • Successful completion of a background check including motor vehicles records report required.
  • Constant sitting, occasional walking, standing and driving; occasional handling objects, pushing/pulling; frequent reaching with hands/arms, and use of finger movements; occasional lifting, carrying, pushing or pulling objects up to 50 lbs.
  • Constant written and oral communication and the ability to reason and analyze and perform calculations occasionally.

Responsibilities

  • Administer Pearson Vue, CLEP, and other online tests for registered students in accordance with specified testing rules and security procedures.
  • Solve problems, apply guidelines, and use processes that are stated and defined, or determine solutions and actions exercising independent judgment and discretion.
  • Perform clerical/technical aspects of a department or administrative office, including coordinating, monitoring, reporting, student registration, bulletin/class schedule production, scheduling, customer service, front office procedures, and general clerical support to faculty, staff, administration, and students.
  • Perform clerical/technical support duties which may be limited to one activity or include a variety of complex support activities.
  • Serve and assist students; assist with admissions, registrations, and processing and maintenance of student and department records.
  • Gather, coordinate, and assemble bulletin/brochures information, course programming and scheduling; prepare and/or assist in development of instructional materials, reports, and publications.
  • Develop and maintain schedules; may schedule and proctor tests.
  • Coordinate programs, projects, events, and special activities.
  • Enter data; process forms and documents; track data; prepare reports; schedule faculty use; initiate student billing and follow-up efforts.
  • Administer building security systems: issue or coordinate badges; prepare, maintain, verify, and distribute documents and records.
  • Maintain employee records; provide information and/or training; handle front office procedures.
  • Maintain confidentiality in accordance with FERPA and all other policies and guidelines.
  • Provide general clerical/technical support to faculty, staff, and administration.
  • Prepare testing room for examination.
  • Follow specified testing rules and procedures and ensure the testing environment is securely maintained.
  • Verify registered testers through the Pearson Vue support services website.
  • Maintain the Pearson Vue candidate logbook.
  • Be present during all testing sessions.
  • Keep up to date on Pearson Vue client changes and announcements.
  • Run daily backups for both Pearson Vue and CLEP.
  • Administer Accuplacer testing for select student groups.
  • Perform other duties as assigned.
