About The Position

The Administrative Team Lead will welcome visitors to the clinic, creating an exceptional patient experience. This role operates in a demanding, fast-paced environment that adapts to industry standards, interacting with patients of all ages seeking mental health and substance use treatment. Responsibilities include working with multiple electronic platforms such as the Electronic Health Record (EHR) and various web-based systems. Duties involve overseeing scheduled appointments, assisting with medication refill requests, preparing charts, and handling record requests. The role also supports the day-to-day needs of clinical and medical staff by managing and triaging administrative responsibilities, utilizing supplemental technologies for patient and clinical care, and addressing concerns such as insurance and billing disputes, scheduling, and coordinating transportation. The Administrative Team Lead will engage in creative problem-solving to support clinic operations and assist the Practice Manager with Administrative Assistant scheduling, onboarding new hires, mentoring the admin team, and running/interpreting reports.

Requirements

  • High school diploma with 3 years of experience within the customer service or behavioral health field - required.
  • High School diploma with 2 years of experience at Horizon Health Services – required

Responsibilities

  • Welcome all visitors of the clinic to create an exceptional patient experience with every interaction.
  • Work in a demanding, fast paced environment that is frequently adapting to industry standards where you will interact with patients seeking mental health and substance use treatment. Patients can include children as young as three, adolescents and adults 18 and older.
  • Work with multiple electronic platforms that include our Electronic Health Record (EHR), various web-based systems, and other technology platforms. Duties include overseeing all scheduled appointments, assisting with medication refill request from patients and pharmacies, preparing charts and record requests and other duties as needed.
  • Supporting the day to day needs of our clinical and medical staff which includes managing, triaging, and supporting administrative responsibilities, using supplemental technologies to support patient and clinical care. This can include insurance and billing disputes, scheduling appointments, coordinating transportation needs, speaking to referral sources from courts, schools and/or hospitals, and other concerns that may arise.
  • Creative problem solving to support the overall operations of the clinic.
  • Assist Practice Manger with Administrative Assistant scheduling coverage, onboarding new hires, mentoring the current admin team and running/interpreting reports.
