About The Position

The Department of Women's, Gender, and Sexuality Studies at San Diego State University is seeking a highly organized and detail-oriented Administrative Support Coordinator to join their team. This position offers an exciting opportunity to support academic operations, faculty and personnel processes, budgeting, and day-to-day department coordination that contribute directly to department success and operations.

Requirements

  • Fully functional knowledge of and skill in standard office procedures and practices.
  • Ability to understand and operate in a variety of organizational structures.
  • Thorough knowledge of English grammar, spelling, and punctuation.
  • Ability to clearly communicate orally and in writing.
  • Ability to use and quickly learn new office support technology systems and software packages.
  • High school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
  • Experience supporting diverse populations and cross-collaborating with a variety of stakeholders and leadership levels.
  • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Must currently be authorized to work in the United States on a full-time basis.

Nice To Haves

  • Some positions may require a knowledge of business mathematics beyond basic arithmetic.
  • Experience working with and supporting LGBTQIA+ students, staff, faculty, or community members is preferred.

Responsibilities

  • Prepare faculty and instructional staff appointment documentation, maintain workload and instructional records, assist with course scheduling and room coordination, and support faculty evaluation processes through deadline tracking and confidential record maintenance.
  • Support department financial processes of purchasing, reimbursement, travel, honoraria, and related transactions, while monitoring budgets, reconciling accounts, maintaining financial records, and helping faculty and staff comply with purchasing and travel procedures.
  • Prepare faculty and staff appointment paperwork, maintain confidential employment files, coordinate onboarding, process payroll and student time reporting, and assist with RTP documentation and review files.
  • Coordinate daily department operations by supporting the Department Chair, serving as the primary office contact, maintaining files, supplies, equipment, and records, and coordinating meetings and events.
