Requirements

  • Equivalent to four (4) years of full-time, general office clerical and administrative support experience that has provided the applicant with the knowledge and abilities listed.
  • Equivalent to full-time college or university education/vocational school training in a business or job-related field may be substituted for up to two (2) years of the required experience on a year-for-year basis.
  • Knowledge of academic scheduling and administrative systems, including the ability to build and revise class schedules, process scheduling updates and restrictions, maintain faculty time and labor records, generate reports, prepare rosters, access student records, issue course permission numbers, and compile faculty workload information for Academic Planning Database (APDB).
  • Skill in coordinating faculty, student assistant, and instructional support activities, including establishing work priorities, providing training and work direction, tracking departmental equipment, monitoring laboratory and classroom conditions, arranging repairs and upgrades, coordinating faculty evaluations, reserving rooms and audiovisual (A/V) equipment, and maintaining enrollment waitlists.
  • Knowledge of student services and academic procedures, with the ability to process course add/drop requests, permission numbers, and restricted class forms; explain university, college, and department policies; respond to program inquiries; and communicate policy and procedural changes accurately.
  • Skill in coordinating equipment, purchasing, and office operations, including reserving and tracking loaner laptops, arranging repairs and replacements, ordering supplies and equipment, completing Personnel Action Requests (PARs), maintaining requisition records, reserving rooms and A/V equipment, and creating and updating departmental informational posters.
  • Applicants must be authorized to work for any employer in the United States.

Responsibilities

  • Under the general supervision, the Administrative Support Coordinator coordinates office workflow and provides administrative support for the Department of Computer Science.
  • Assists with scheduling: building class schedules using SOLAR; records time and faculty labor; monitors the condition of department labs and instructional facilities; tracks loaner laptop equipment.
  • Builds class schedule using SOLAR.
  • Provides work direction and training to student assistants.
  • Provides support to students by processing course add/drop requests, permission numbers, and restricted class forms.
  • Orders supplies and other materials and equipment as needed for the department office, labs/classrooms, and faculty.
  • Answers and directs inquiries about the computer science programs.
  • Performs other duties as assigned.
