About The Position

The School of Exercise and Nutritional Sciences at San Diego State University is seeking a motivated and detail-oriented Administrative Support Coordinator to join our team. This position offers an exciting opportunity to coordinate administrative tasks for day-to-day operations and complex, special projects for the School of Exercise and Nutritional Science.

Requirements

  • Fully functional knowledge of and skill in standard office procedures and practices.
  • Ability to understand and operate in a variety of organizational structures.

  • Ability to clearly communicate orally and in writing.
  • Ability to use and quickly learn new office support technology systems and software packages.
  • Strong proficiency in using Microsoft Office or similar office software packages, technology, and systems.
  • Experience supporting diverse populations and providing inclusive, customer-focused service.
  • Ability to learn and use enterprise systems for scheduling, document management, and workflow processes.
  • Experience supporting academic faculty and maintaining related records and documentation.
  • Experience assisting with scheduling, coordination, and planning activities and projects.
  • Ability to lift objects up to 20-40 pounds; position involves standing, squatting, kneeling, and walking for significant times of the day.
  • Valid California Driver’s License or the ability to obtain one within 30 days of hire.
  • Must currently be authorized to work in the United States on a full-time basis.

Responsibilities

  • Provide front-office customer service, handle internal and external communications, triage inquiries, student assistant recruitment/training/scheduling, Gradescope support for TAs/ISAs/GAs, class scheduling support for 200+ lecturer, lab, and activity sections across terms, my.SDSU section maintenance, processing ENS 499/798 registration, syllabi collection, key and parking-pass records, purchasing and travel assistance, supply/equipment/catering coordination, and planning/execution of School events ranging from small meetings to events of up to 250 attendees.
  • Coordinate ENS facilities maintenance and repair activities with School leadership, faculty, SDSU Facilities/Project Management, vendors and lab personnel; prepare and track work orders and cost estimates, communicate project timelines and access needs, verify completion, monitor safety and hazardous-materials compliance, recommend improvements, and coordinate laundry service logistics for instructional and research labs.
  • Provide administrative support to key ENS academic and student programs.
  • Support student application/admissions inquiries, campus visits, application tracking, student records, accreditation reporting, and special projects for the Didactic Program in Dietetics (DPD).
  • Coordinate admissions processing including ATCAS application review and correction; data entry in ATRACK information system for students, preceptors, and clinical-sites, accreditation report support, and data management for the Master of Science in Athletic Training (MSAT).
  • Coordinate and attend monthly meetings for the ENS Student Club; prepare agendas, materials, and meeting minutes; track action-items, and partner with School Director to support Council initiatives student engagement activities.
