About The Position

Full-time position available on or after July 6, 2026 for the Educational Opportunity Program. This position's responsibilities are carried out under general direction. The incumbent is responsible for coordinating the full scope of clerical and administrative support operations for the Student Empowerment and Success departments including but not limited to Educational Opportunity Program (EOP), Project Rebound, Promise Scholars, and the Warrior Re-Engagement Center, while also providing support to Basic Needs. The incumbent independently coordinates administrative workflow; manages purchasing, travel, and procurement processes; tracks and reconciles budget activity across multiple funding sources; maintains records and documentation; and prepares administrative and financial reports. The position interprets and applies established university policies and procedures; provides lead work direction to student assistants; coordinates meetings and events; serves as a primary administrative contact for campus partners and stakeholders; and exercises independent judgment in managing multiple priorities and resolving operational matters. Occasional administrative support may be provided to other areas within the division, including but not limited to Coordinated Access, Retention and Equity Services (CARES), as operational needs require.

Requirements

  • Completion of a high school program, technical/vocational program, or their equivalents.
  • Several years of related office work experience.

Nice To Haves

  • Experience supporting reentry services, workforce development initiatives, or educational access programs for justice-impacted individuals.
  • Experience processing purchasing, procurement, or hospitality transactions in accordance with established procedures.
  • Experience reconciling financial documentation, tracking expenditures, or maintaining budget-related records.
  • Experience supporting programs serving first-generation or low-income students.
  • Experience supporting programs serving foster youth or other historically underserved student populations.
  • Experience utilizing enterprise and administrative systems such as PeopleSoft, Concur, Warrior Connect (EAB Navigate), or similar financial and student information systems.

Responsibilities

  • Coordinate clerical and administrative support activities for assigned programs in accordance with established procedures.
  • Provide calendar coordination and scheduling support for program leadership, ensuring meetings and events are properly arranged.
  • Initiate and process purchasing, hospitality, and travel-related administrative transactions in compliance with university policies.
  • Prepare and submit purchase requisitions, office supply orders, and campus service requests.
  • Process procurement card transactions, reconcile charges across multiple chart-strings and funding sources, and maintain supporting documentation.
  • Arrange travel logistics for staff, including airfare, lodging, transportation, and required forms.
  • Utilize 25Live or related program to reserve space for meetings, workshops, and program activities.
  • Maintain required logs and documentation (e.g., training records, travel authorizations, property inventory, equipment checkout).
  • Maintain program forms, files, and records in accordance with record retention guidelines.
  • Handle multiple daily priorities and assigned projects within established guidelines.
  • Attend department meetings and provide administrative support as requested.
  • Coordinate student assistant work schedules and provide day-to-day task guidance consistent with established procedures.
  • Respond to inquiries and provide timely information and referring complex matters to appropriate staff.
  • Prepare and format correspondence, reports, and forms using proper grammar and formatting standards.
  • Provide logistical support for special projects, workshops, and program-related activities.
  • Coordinate with campus and community contacts to support program operations and event planning.
  • Provide administrative support for student assistant recruitment logistics, scheduling, onboarding processes, and routine questions.
  • Refer student concerns or issues to appropriate professional staff and campus resources.
  • Provide support for website updates and routine content revisions in collaboration with program staff.
  • Assist with coordination and review of social media content prepared by student assistants, ensuring alignment with established guidelines.
  • Track program expenditures and reconcile accounts.
  • Compile and prepare routine financial status reports as requested.
  • Maintain internal tracking systems related to travel, training compliance, inventory, and operational records.
  • Maintain and distribute updated operational information to campus partners as appropriate.
  • May be required to obtain additional training and/or certification as part of professional development, based on department and/or campus needs, to stay current with industry standards.
  • At the direction of appropriate administrator, may provide support to other areas as needed.
