About The Position

The Administrative Support Associate role is responsible for providing comprehensive administrative support within the Office of the President at TCAT-Jackson. This position involves greeting visitors, managing office records, facilitating meetings, supporting accessibility initiatives, and coordinating travel. The associate will also assist with agency reports, perform general office duties, manage special projects and events, track facility usage, and maintain office supplies inventory. Additionally, this role serves as a backup for Human Resources and Payroll functions.

Requirements

  • Associate degree required
  • Minimum five (5) years’ of working experience in an office setting.
  • Strong interpersonal skills, pleasant demeanor, and professionalism with coworkers, students, and the public.
  • High effort, dedication, and commitment toward work; operate utilizing the efficient and organizational structure while demonstrating trustworthiness and responsible behavior.
  • Advanced proficiency in PowerPoint, Excel, and Word required.

Responsibilities

  • Greet internal and external customers (in-person and by phone) in a professional manner.
  • Assist with institutional and programmatic accreditations. Prepare and maintain office records, including meeting agendas and minutes, reports, official documents, and accreditation materials.
  • Facilitate various meetings and functions within the college, as needed.
  • Assist in planning, implementing, and supporting the institution’s accessibility initiatives by ensuring compliance with applicable accessibility standards for all students, staff, and visitors.
  • Serve as the designated backup for Human Resources and Payroll functions, providing support in the administration of HR processes and payroll activities as needed.
  • Coordinate travel, including airline and hotel booking, itinerary, prepare reimbursement forms, maintain institutional credit cards related to travel, and registration when needed.
  • Assist with preparing agency reports using PowerPoint, Excel, and Word as needed.
  • Perform general office duties: Type and proof correspondence, reports, tables, charts, academic manuscripts, brochures, and other business materials as needed; make copies, assemble, collate, staple, or bind materials as required; distribute mail; prepare office supply requests.
  • Assist with special projects, including development and tracking. Coordinate special events as needed. Maintain administrative Outlook calendars as needed.
  • Schedule and track facility usage by maintaining Facility Usage Calendar. Coordinate with facilities and IT staff to ensure resources are available when space is reserved.
  • Maintain office supplies inventory, submit requisitions for purchase, and receipts related to purchase orders in the TBR eProcurement system.
  • Perform all other duties as assigned by the President and Vice President of Instruction and Institutional Effectiveness.
