About The Position

The School of Medicine is searching for an Administrative Support Associate on the Macon, Georgia campus. The Administrative Support Associate provides high-level, comprehensive administrative and operational support to South Georgia Healthy Start, supporting its programmatic, training, and community engagement initiatives. This role manages initiative budgets; monitors expenditures and spend-down; supports the preparation and reconciliation of financial documentation; assists with consulting and subcontract agreements; and facilitates procurement, payment processing, and expense reporting in compliance with institutional and program requirements. The Administrative Support Associate also coordinates personnel processes in collaboration with Human Resources, maintains employment and program records, manages the participant compensation system (ClinCards), and supports project operations through scheduling, travel coordination, and event logistics. Working with a high degree of organization and initiative, the position anticipates operational and logistical needs to ensure efficient execution of South Georgia Healthy Start activities and provides ongoing administrative support as directed by the Director of Program Operations.

Requirements

  • High school diploma/GED
  • Two years of prior administrative support experience.
  • One year of college coursework and one year of experience, which must include experience working with budgets (in lieu of experience).
  • Proficiency in electronic data entry, document preparation, scheduling systems, and common office productivity software.
  • Ability to forecast fiscal needs and maintain accurate, well-organized, and auditable budget records.
  • Proficiency in Word processing programs, such as Word in order to create written correspondence and other appropriate documents.
  • Strong verbal and written communication, as well as customer service.
  • Ability to exercise sound judgment, discretion, and confidentiality when handling sensitive financial, personnel, or participant information.
  • Ability to communicate effectively and professionally with internal departments, external partners, vendors, consultants, and community stakeholders.
  • Skill in organizing and coordinating meetings, trainings, community outreach events, and related logistical activities.
