About The Position

The Administrative Staff Assistant will oversee and/or coordinate the processing of information for assigned work units, sections, divisions, or departments. This role involves drafting correspondence and reports, researching and analyzing specific assignments, and preparing written reports of findings. The position also includes monitoring budget expenditures, participating in budget preparation, and planning/organizing meetings, workshops, and training. Additionally, the assistant will coordinate meeting agendas and information for committees and task forces, act as a liaison for human resources and financial policies, and facilitate assigned committees. Developing and implementing filing/record keeping systems, providing work direction to staff, and performing other assigned duties are also key aspects of this role.

Requirements

  • 3 to 5 years of Administrative Support to a Department.
  • Knowledge of word processing and spreadsheet software
  • Basic knowledge of budgeting techniques and principles
  • Knowledge of office management techniques and principles
  • Planning and organizational skills

  • Skill in working with diverse populations

Responsibilities

  • Oversee and/or coordinate the processing of information for assigned work unit, section, division or department.
  • Draft correspondence and reports for assigned work.
  • Research and analyze specific assignments and prepare written reports of research findings as directed by supervisory and management staff.
  • Monitor and review budget expenditures and participate in the preparation of unit, section, division or department budget.
  • Participate in planning and organizing meetings, workshops and other related training.
  • Coordinate the preparation of agendas, meeting notices and related information for internal and external committees and task forces.
  • Plan, coordinate and implement specialized human resources/staffing assignments as directed by supervisory and management staff.
  • Act as the liaison with internal and external sources on human resources and financial policies, procedures and functions.
  • Act as facilitator for assigned committees and task forces.
  • Develop, plan and/or implement filing/record keeping systems for assigned work unit.
  • Provide work direction and/or assignments to staff.
  • Perform other duties as assigned.
