About The Position

LPA is seeking a passionate Administrative Specialist to join our integrated team of architects, engineers, interior designers, landscape architects and master planners. Our Irvine studio is continuing to grow, and you’ll have the opportunity to be a central part of our expansion. You will have the opportunity to collaborate with team members across studios on projects that are both local and across Texas and California. Requirements

  • Proficient skills in Microsoft Office Suite, specifically Word, Excel and PowerPoint
  • Familiarity with Microsoft Teams
  • Interest in learning processes related specifically to design and construction related processes of the office
  • Ability to multitask and focus on various responsibilities at any given time
  • Enthusiastic commitment to the team and work environment
  • Strong written and verbal communication skills
  • Curious and open minded to learn and assume increased responsibilities

Responsibilities

  • Receive and direct visitors and clients
  • Provide front desk coverage and support to the Receptionist
  • Manage general office areas and conference rooms
  • General clerical duties including photocopying, mailing; opening, sorting, organizing and distributing incoming correspondence
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Fielding telephone calls, word processing, creating spreadsheets and presentations, and filing
  • Arrange and schedule travel for staff company-wide - potentially
  • Help moderate firmwide meetings via Microsoft Teams - potentially
  • Coordinate client and office events throughout the year
  • Coordinate catering and food for events, meetings, etc.
  • Assist with company and contact management in Microsoft Dynamics software
