About The Position

This role supports the HIV/STI/Hepatitis C Community Health team, advancing programs that improve community health and well-being. It offers an opportunity to support public health initiatives, assist professionals serving vulnerable populations, and contribute to work that creates community impact. The position involves supporting daily operations, serving as a first point of contact, preparing reports, managing data entry, tracking inventory, purchasing supplies, processing invoices, coordinating meetings, maintaining records, and assisting with materials and resources for Health Educators and Outreach Workers. The team is part of the Wake County Public Health department, dedicated to protecting and improving community health through expertise in various health domains.

Requirements

High school diploma or GED
Two years of administrative/office support experience
Equivalent education and experience are accepted
Knowledge and experience in carrying out office duties and handling multiple tasks at one time
Expertise in taking minutes, transcribing, setting agendas etc.
Expertise in providing excellent customer service
Ability to be non-judgmental and comfortable answering phone calls related to HIV and STD
Ability to listen and respond appropriately to community members, co-workers, and leadership
Expertise in utilizing computer programs and other technology
Comfortable working with a diverse team

Nice To Haves

Two years or more of administrative/office support experience
Strong Microsoft Office skills
Experience in a Public Services environment
Spanish language skills
Experience using OnBase and Workday for document management and financial processes
Proficiency in Microsoft Excel, including creating and maintaining data spreadsheets, using formulas, and organizing data for reporting
Experience using Canva to create professional flyers, presentations, and program materials
Demonstrated ability to maintain accurate records, verify data, and prepare concise reports
Knowledge of Human Immunodeficiency Virus (HIV) and Sexually Transmitted Diseases (STD)

Responsibilities

Serving as the first point of contact for the unit
Supporting the Program Manager and a team of 30+ staff members
Preparing monthly reports and managing data entry
Tracking inventory for educational supplies, incentives, and resources
Purchasing program and office supplies, food, bus passes, and client assistance items
Processing invoices and supporting financial reconciliations
Coordinating meeting rooms, workshops, and conferences
Maintaining records, files, and meeting minutes
Assisting Health Educators and Outreach Workers with materials and resources
Supporting special projects and helping ensure the team has what they need to serve the community
