About The Position

This position is responsible for providing general administrative support for the Legal team. This role will have direct support to several leaders within the business. The ideal candidate can exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills.

Requirements

  • Associate’s Degree or High School Diploma / GED from an accredited school or institution
  • Minimum of 5 years’ experience as an administrator, preferably within a large organization.
  • Experience with calendar management and scheduling.
  • Knowledge of general office management and current computer/office communications technologies.
  • Proficient in Microsoft Software: PowerPoint, Word, Excel and Outlook.
  • Able to run reports in Excel, Access, and other data gathering programs.
  • Input and update data into databases.
  • Self-Starter, proactive, able to work independently, able to maintain confidentiality and handle matters discreetly.
  • Effective time management and organizational skills; able to balance multiple priorities.
  • Able to effectively interact and communicate with senior level management, corporate contacts and external customers.
  • Excellent interpersonal, verbal and written communications including strong grammatical skills.
  • High attention to detail.
  • Able to quickly identify and prioritize goals and uses resources.
  • Able to create solutions and meet deadlines, while considering both strategy and efficiency.
  • Team player with strong interpersonal skills, capable of working within a globally diverse team across different time zones and businesses.
  • Ability to adapt to changing priorities and schedules based on business demands.
  • Availability to work outside standard business hours, including evenings, weekends, and holidays, as needed to support critical business operations, meetings, or events.

Responsibilities

  • Assists with calendar management, coordinating daily activities, prioritizing inquiries and requests, and troubleshooting conflicts to ensure smooth day-to-day engagements.
  • Serves as a bridge for smooth communication between the leader’s office and internal departments, maintaining credibility, trust, and support with senior management.
  • Coordinates travel arrangements, creates travel itineraries, arranges transportation and lodging, communicates with supervisors while traveling, and processes and reconciles T&L expense accounts.
  • Works closely and effectively with the leader to keep them informed of upcoming commitments and responsibilities, following up appropriately.
  • Schedules, plans, and organizes logistical details for in-house and off-site meetings, training, and events.
  • Develops and prepares agendas for departmental meetings, coordinates and attends staff meetings, and prepares and distributes minutes.
  • Maintains filing and records management systems and other office flow procedures, which may be confidential.
  • Prepares, tracks, and coordinates mail and shipments for the organization.
  • Acquires and maintains an inventory of office supplies and equipment within budget constraints.
  • Supports community responsibility events/activities.
  • Identifies necessary credentials to ensure proper access for employees and visitors, protecting proprietary information and complying with government regulations.
  • Manages new hire working space, office moves, updates floor plans, reports building issues, and communicates as necessary.
  • Maintains office equipment and reports any issues or requests for service.
  • Manages contacts using Outlook for database entry, tracks and manages correspondence, and facilitates relationships with key stakeholders.
  • Keeps organization charts, phone lists, and birthday lists up to date.
  • Travels domestic & internationally as needed.
