About The Position

B&T USA is seeking a detail-oriented and proactive Administrative Specialist - Sales to support our sales department with a variety of administrative and clerical tasks. The ideal candidate will play a key role in ensuring smooth daily operations, accurate record-keeping, and effective communication across departments.

Requirements

  • High school diploma or GED required.
  • Strong organizational and multitasking abilities.
  • Excellent communication skills, both written and verbal.
  • Proficiency in managing databases, spreadsheets, and sales-related software.
  • Attention to detail and accuracy in data management.
  • Ability to work collaboratively with multiple departments including logistics and management.
  • Familiarity with sales order processing and customer account management.
  • Understanding of compliance and regulatory requirements related to sales operations.
  • Problem-solving skills and the ability to escalate issues appropriately

Responsibilities

  • Assist the sales department daily by performing numerous tasks including managing and updating accounting information, files, and records such as name or address changes, mergers, or mailing attentions.
  • Receive and process sales orders via email or phone promptly and accurately.
  • Review customer accounts for accuracy and maintain the most current information.
  • Maintain department records, including spreadsheets and databases that track suppliers, sales, and customers.
  • Prepare monthly sales reports, proposals, quotes, bids, vendor applications, purchase orders, and invoices as requested by sales representatives.
  • Copy, file, and retrieve materials for the sales department as needed.
  • Serve as a liaison with the logistics team to ensure timely deliveries.
  • Communicate with managers and other departments regarding any customer feedback.
  • Adhere to policies set forth by the management team.
  • Understand and ensure compliance with all regulations concerning the sales department.
  • Follow established procedures and communicate regularly with the Vice President of Sales regarding any problems or issues impacting the sales department.
