About The Position

Georgia State University's College of Law, located in Atlanta, is seeking an Administrative Specialist II to join its Student Success Team. This dynamic urban law school, part of one of the Southeast's largest comprehensive research universities, serves approximately 650 full-time and part-time students. The College of Law is experiencing exciting growth and is looking for individuals committed to its mission of accessible education, impactful research, and community service. The Administrative Specialist II will direct administrative functions and office operations, primarily supporting the Career Development Office, as well as academic success, bar success, and student life areas. This role involves general administrative management, client services, departmental communications, event management, and business services.

Requirements

  • Bachelor's degree and two years administrative experience; or a high school diploma or GED and six years administrative experience; or a combination of education and related experience.

Responsibilities

  • Serve as the unit's central point person for internal and external customers in-person and by phone: employers, students and alumni, university graduate and undergraduate students, staff, faculty, and the public.
  • Perform administrative functions to support local, regional and national job fairs. Supports the posting and interviewing of students year-round in the career development applicant tracking system.
  • Perform research for unit projects and coordinate data for a variety of general and comprehensive reports and surveys.
  • Manage the unit's primary email account. Assist with organizing marketing and other communications. Compile and manage operational and recruitment calendars.
  • Perform other specialized administrative functions as assigned.
  • Perform administrative functions to support local, regional, and national job fairs, both on- and off-campus.
  • Manage annual career services fall and spring On- and Off-Campus Interview Programs. Input, approve and manage year-round online job postings. Conduct fall and spring Symplicity interview module usage group training workshops.
  • Generate reports using Microsoft Excel, Symplicity, Raiser's Edge, Banner and Argos systems.
  • Coordinate room and facility reservations for unit's events, programs and activities with events management team. Perform day-to-day operations for seminars, workshops, and career panels.
  • Support directors with updating iCollege for Professional Development course. Develop content for digital monitors, announcements, invitations and flyers. Work closely with law communications department and prepare and maintain ongoing communications with program and event participants.
  • Perform other project management functions related to career programs and events.
  • Manage unit's accounts receivable, accounts payable, purchase order, travel authorization and purchase card functions utilizing PantherMart, Spectrum, U-Store, Marketplace (Touch-net) and other applications.
  • Maintain knowledge of systems' updates and attend training. Generate and reconcile monthly revenue and expense budget reports.
  • Monitor and assure graduate research assistants’ and student workers’ timely submission of monthly work hours.
  • Process onboarding and user access rights to utilize Symplicity Career Management System modules.
  • Provide administrative support to the directors of Academic Success, Bar Success and Student Life in the following areas: budget reconciliation, reimbursements, contract routing, travel expenses and expense support.
