About The Position

Experienced Administrator I to help manage customer service and administrative duties during the regular administrator’s assignment to a special duty. This is a temporary, 1-month+ contract position located in Downtown Seattle, paying $18.97 per hour.

Requirements

  • Experience as an administrator.
  • Ability to manage customer service and administrative duties.
  • Proficiency in handling customer calls and in-person customer interactions.
  • Experience with coordinating vehicle maintenance and repairs.
  • Familiarity with managing petty cash and generating expense reports.
  • Experience with opening and completing work orders.
  • Ability to audit documents for accuracy and completeness.

Nice To Haves

  • Experience with Faster software.
  • Experience with Oracle for I-Expense reports.
  • Knowledge of CPO vendors and their processes.
  • Familiarity with vehicle accident repair coordination.

Responsibilities

  • Check employee absence requests, update calendars.
  • Audit technician’s time, update system with any changes.
  • Handle customer calls for vehicle repair status, repairs, appointments and other requests.
  • Assist customers at the counter with in-take, information, and miscellaneous requests.
  • Coordinate Fleet dispatch vehicle maintenance, repairs, pick up, and return.
  • Coordinate outside vendor repair pick up and returns.
  • Coordinate Radio Shop vehicle installations, pick up and returns.
  • Update out of service vehicle information in Faster.
  • Coordinate vehicle accident repairs and information with CEI, Body Shop, Risk Management and client departments.
  • Coordinate vehicle decal installations for new vehicles and decals for accident damage repairs.
  • Issue fuel cards to new vehicles and notify fuel coordinator.
  • Maintain, secure and reconcile a $100 petty cash till.
  • Generate I-Expense report in Oracle and send to Accounts Payable.
  • Prepare annual petty cash audit.
  • Open and complete work orders for CPO vendors, ensuring correct data on tax rates and contract pricing.
  • Manage work orders in Faster.
  • Audit build packets for accuracy and completeness.
  • Perform other duties as assigned.
