About The Position

This is a temporary position located at 114 W Edenton St - Wake County. This position is assigned to the Department of Justice. The primary purpose of this position is to provide legal secretarial, administrative, and other support to the Tort Claims Section attorneys. The employee will perform a variety of office and/or technical tasks to accomplish the specialized processing of information, documents and materials, as well as maintain the database by timely entry of necessary data as required. The employee will oversee closing and achieving closed case files. This includes scanning documents into the achieving system, properly denoting their status in case management and database system, and overseeing the ultimate disposition of the physical file.

Requirements

  • High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

Responsibilities

  • Oversee closing and achieving closed case files.
  • Scan documents into the achieving system.
  • Properly denote case file status in case management and database system.
  • Oversee the ultimate disposition of the physical file.
  • Screen and route materials.
  • File and retrieve information and documents.
  • Provide telephone and reception services.
  • Type and proofread.
  • Compose legal documents and correspondence.
  • Open and close claims and actions.
  • Receive and process bills.
  • Respond to inquiries from the general public, claimants, private attorneys and State agencies.
  • Prepare records and reports.
  • Schedule travel, depositions and meetings.
  • Make arrangements for court reporters and room reservations.
  • Track cases.
  • Maintain attorney-client privilege at all times.
  • Keep the office up to date on Division requisition policies and procedures.
  • Provide back up for other support staff in the section as necessary.
  • Handle miscellaneous tasks as may be assigned by a supervisor or the Section Head.
