About The Position

The North Carolina Department of Labor is charged by statute with promoting the health, safety and general well-being of the workers in the state. The laws and programs the Department administers affect every worker in the state. The Department is organized into three primary divisions which carry out the Department's principle regulatory, enforcement and promotional programs, and the administrative operations. The three primary divisions have divisions, bureaus and offices under each, which carry out the specific and specialized portions of the NCDOL mission. The position is under the control of the Program Coordinator II responsible for Administrative Operations. This position provides a variety of administrative support services for the West Bureau – OSH Compliance Asheville Field Office. Duties include greeting in a manner professional members of the public, drafting and typing documents, filing, process referrals and complaints, setup new inspection files, prepare documents for USPS and Certified Mail, maintain and process surplus requests, and prepare files for collections. This position provides administrative support to the Occupational Safety and Health (OSH) field office by coordinating office operations, managing inspection case files, maintaining confidential records, supporting compliance staff, and ensuring the accurate processing of inspection documentation into state and federal database systems. The position serves as a key administrative resource for Safety and Health Supervisors and Compliance Safety and Health Officers (CSHOs) and is responsible for maintaining the integrity, accuracy, and confidentiality of inspection records throughout the enforcement process.

Requirements

  • Considerable knowledge of office administration principles, practices, and procedures.
  • Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent attention to detail and a high degree of accuracy when processing confidential information and legal documents.
  • Working knowledge of Microsoft Office applications, including Word, Excel, Outlook, and Adobe Acrobat.
  • Ability to learn and effectively utilize OSHA Express, OSHA Information System (OIS), OnBase, PSIM, and other agency software systems.
  • Ability to maintain confidential information and exercise sound judgment.
  • Strong written and verbal communication skills.
  • Excellent customer service and interpersonal skills with the ability to establish effective working relationships with staff, supervisors, and external stakeholders.
  • Ability to work independently as well as collaboratively in a team environment.
  • Ability to prioritize assignments in a fast-paced office while maintaining accuracy and professionalism.
  • High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

Nice To Haves

  • Prior experience with the North Carolina Department of Labor (NCDOL).
  • Notary or must be able to obtain notary certification w/in 90 days.
  • Must live w/in 50 miles of the Asheville office.

Responsibilities
