About The Position

This is a temporary position funded through a grant, with an anticipated duration through April 2028, subject to funding. The posting is continuous and may close at any time. Ada County's Trial Court Administration team is seeking to fill this role to support Treatment Court programs and a Nurse Practitioner. The position provides comprehensive administrative, clerical, and medical billing support, including front-office coordination, medical records management, and specialized medical coding and billing. The role ensures accuracy, compliance, and confidentiality in patient, billing, and program records according to regulations. Work is performed under the general supervision of the ACTS Center Supervisor.

Requirements

  • High school diploma or equivalent required
  • Minimum of 2 years of experience in medical billing, coding, or healthcare administrative support preferred
  • Knowledge of medical terminology, coding systems (ICD, CPT, HCPCS), and billing practices
  • Knowledge of insurance processes, claims submission, and reimbursement procedures
  • Knowledge of office administration practices and procedures
  • Knowledge of Microsoft Office Suite and electronic medical record (EMR) systems
  • Knowledge of business English, spelling, grammar, and basic mathematics
  • Skill in coding and data entry with strong attention to detail and accuracy
  • Skill in effective time management and organizational skills
  • Skill in organizing records
  • Skill in operation of various office machines, such as fax machine, calculators, copiers, computer printers, scanners, etc.
  • Skill in communicating with a culturally diverse and manipulative populations professionally
  • Ability to interpret medical documentation and apply appropriate codes
  • Ability to maintain confidentiality and handle sensitive information
  • Ability to analyze and resolve billing discrepancies and issues
  • Ability to communicate effectively with diverse populations, including patients, providers, and external agencies
  • Ability to work independently and manage multiple priorities

Responsibilities

  • Reviews medical documentation to assign accurate diagnostic and procedural codes (e.g., ICD, CPT, HCPCS) for billing and recordkeeping purposes.
  • Ensures coding accuracy and compliance with federal, state, and payer-specific regulations.
  • Processes and submits claims to various payers including Medicaid, Medicare, private insurance, and other contracted entities.
  • Verifies patient eligibility, coverage, and authorization requirements prior to billing.
  • Monitors claim status, identifies discrepancies, and resolves billing issues in a timely manner.
  • Investigates and processes claim denials, including preparation and submission of appeals.
  • Posts payments, adjustments, and account activity into billing systems.
  • Reconciles accounts and ensures accuracy of charges and payments.
  • Maintains and manages billing records, reports, and audit documentation.
  • Coordinates with providers, insurance companies, and external agencies to resolve billing inquiries.
  • Provides direct administrative support to the Nurse Practitioner, including scheduling appointments, managing calendars, and coordinating patient visits.
  • Greets and assists clients, program participants, and visitors in a professional and courteous manner.
  • Answers, screens, and directs incoming phone calls; provides information and resolves routine inquiries.
  • Maintains and organizes medical and administrative records in compliance with retention policies.
  • Prepares, types, and distributes correspondence, reports, forms, and other documents.
  • Performs data entry and maintains databases, logs, and tracking systems.
  • Opens, sorts, and distributes incoming mail; prepares outgoing correspondence.
  • Orders and maintains office and medical supplies.
  • Assists with preparation of reports, including statistical and financial data.
  • Supports coordination of communication between medical staff, court personnel, and external partners.
  • Maintains strict confidentiality of all patient and program information in compliance with HIPAA and other applicable regulations.
  • Ensures proper documentation and recordkeeping for medical, billing, and legal purposes.
  • Assists with audits and compliance reviews by maintaining accurate and accessible records.
  • Maintains working knowledge of medical terminology, coding standards, and billing practices.
  • Occasionally will observe program participants’ urine drug tests.
  • Performs related duties as assigned.
