The Administrative Services Technician I/II is responsible to provide technical administrative and/or program related duties for an assigned department; to research, collect, and analyze data and prepare reports; to assist with program and project monitoring and evaluation; to provide information to the general public; and to perform other technical administrative duties that may involve support for specialized programs and/or projects.

  • Prepare graphs, charts, site plans, and other descriptive material using computer graphics programs.
  • Provide service and information to the public on a variety of topics.
  • Collect, compile, evaluate, interpret, and apply data.
  • Make accurate mathematic calculations.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of work.
  • Operate office equipment including computers and supporting word processing, spreadsheet, and database applications.
  • Two years of journey level clerical experience, including administrative research, report writing experience and extensive public contact.
  • Equivalent to an associate's degree from an accredited college with major course work in business administration, public administration, finance, or a related field.
  • Principles and practices of administrative and/or technical area to which assigned including, but not limited to, legislation, budget, accounting, grants, economics, and personnel.
  • Procedures for gathering, maintaining, organizing, and archiving a variety of data and document storage.
  • Research methods and techniques.
  • Best practices and procedures of administrative and/or technical area to which assigned.
  • Principles and practices of recordkeeping and reporting.
  • Perform independent research in carrying out technical and administration duties.
  • Collect, compile, analyze, and present a variety of data in a meaningful way.
  • Develop and implement various data collection and reporting systems.
  • Conduct special projects and statistical studies.
  • Understand, interpret, and explain department policies and procedures; explain operations and problem solve office issues for the public and with staff.
  • Write standard operating procedures in accordance with laws and policies.
  • Coordinate efforts as a member of a team to improve productivity and efficiency.
  • One year of increasingly responsible experience equivalent to Administrative Services Technician I with the City of Modesto.
  • Equivalent to an associate’s degree with major course work in business administration, public administration, finance, or a related field.

Responsibilities

  • Provide technical assistance to departmental staff; collect, research, verify, and present data and information on a variety of topics; assist in the preparation of various reports.
  • Conduct technical research using standard reference materials, interviews, and field observations.
  • Maintain administrative records for the program/project area to which assigned; collect and input demographic and program data into automated systems.
  • Respond to requests for documentation related to assigned area of responsibility; explain and interpret assignment area policies and procedures to internal and external customers.
  • Assist professional staff in performing and conducting studies, special projects, and administrative and technical functions; perform data collection and analysis; prepare draft reports and technical documents; outline findings and process improvement solutions; assist in developing solution testing plans, review results, and propose adjustments as needed.
  • Establish and maintain systems related to assigned technical areas of responsibility; monitor area activities and report progress as required; assist in defining business process needs and serve as liaison to other staff regarding the development, modification, and maintenance of systems.
  • Ensure areas of responsibility are in compliance with related laws, codes, ordinances, and legislation; advise staff on any irregularities in compliance.
  • Compile and develop information for special studies and reports from a variety of resources; assist with various special projects, including coordination, research, and development of systems.
  • Assist with the maintenance and implementation of new technologies and systems.
  • Assist with a variety of administrative operations and prepare or recommend procedural modifications.
  • Assist in maintaining databases and other records management systems.
  • Work with information technology systems to create and update data.
  • Assist the general public and outside agencies by providing information and addressing a variety of requests and concerns.
  • Build and maintain positive working relationships with co-workers, other City employees, and the public using principles of good customer service.
  • Observe and maintain a safe working environment in compliance with established safety programs and procedures.
  • Conduct internal audits and assist in implementing corrective actions as needed.
  • Perform related duties as assigned.
