About The Position

The University of Iowa Stanley Museum of Art is hiring an experienced Administrative Services Coordinator (100% appointment) to provide administrative support to the Museum director and staff, including clerical, office administration, and communications support and information management. In this role, you will provide essential logistical support to ensure smooth administrative operations. Key duties include managing the Director’s calendar to prioritize their time effectively amidst competing demands, acting as the first point of contact for callers and correspondents, and facilitating communication among Museum staff, board members, and external stakeholders. You will also: Manage museum meetings, including scheduling, IT setup, and taking minutes as needed. Maintain office files and review procedures, suggesting improvements where appropriate. Support the Museum’s director and department heads directly. Provide reception and general administrative support in the Museum office. Liaise with vendors and the UI purchasing department to manage supplies and inventory. And more! Requirements

  • Bachelor’s degree in management, communications, museum studies, or related field or an equivalent combination of education and experience
  • Some experience (typically 6 months to 2 years) of office support experience, coordinating or working on a variety of complex clerical assignments related to the duties listed above
  • Knowledge of office systems and procedures
  • Working proficiency in written and oral communication skills
  • Working proficiency in computer software applications
  • Ability to multi-task and work well under pressure to ensure efficient prioritization and key tasks are completed
  • Time management skills, including the ability to manage multiple and competing priorities
  • Ability to organize and maintain files, records, and schedules as well as coordinate activities and operations
  • Ability to perform detailed work accurately and efficiently

Nice To Haves

  • 3+ years of administrative or office support experience
  • Copyediting experience
  • Experience streamlining processes to improve effectiveness and efficiency
