Requirements

  • Arizona Department of Administration (ADOA) Personnel Rules and ADCRR policies and procedures
  • Written and verbal communication
  • Grammatical formatting using concise, specific, and grammatically correct non-technical language
  • Computer usage and various software programs (Spreadsheet software, Microsoft Office and Google Suite)
  • Techniques in screening incoming calls, visitors, and telephone calls
  • Working in managing a budget

  • Excellent communication skills both written and verbal
  • Tact in dealing with the public and staff both in-person and via telephone

  • Maintain the statutorily required liability insurance
  • Take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter
  • Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify)

Nice To Haves

  • Two (2) years of professional office experience
  • Proficiency in Google Suite/Google workspace, Microsoft Word, Excel, PowerPoint and e-mail

Responsibilities

  • Composes correspondence and replies to correspondence on routine matters
  • Computer usage
  • Compiles and prepares weekly and monthly reports
  • Updates department policy manual
  • Types meeting minutes
  • Completes special projects
  • Timekeeping
  • Creates, organizes, and maintains confidential/administrative files
  • Logs, tracks, copies and forwards responses for correspondence and documentation
  • Responsible for maintaining files
  • Collects and distributes all incoming and outgoing staff/department mail
  • Answers, screens, and refers call appropriately
  • Coordinates special events, meetings and fundraising events
  • Drives on State business
  • Performs other duties appropriate to the assignment
